About Medicines Sans Frontires (MSF)
Medicines Sans Frontires (Doctors Without Borders) is an international non-governmental humanitarian aid organization that provides emergency medical assistance to people affected by armed conflicts, epidemics, natural or man-made disasters and exclusion from health care, in more than 60 countries around the world.Job Summary
a) Purchase at the best quality and price according to the MSF standard;b) Record and systematize market knowledge;
c) Share market knowledge within the team.
Duties and Resposibilities
a) Assess and regularly monitor the local market for non medical items;b) Systematize and record his market knowledge (business contact list with comments, price list etc) and regularly share these information with Supply Officer and Supply Manager.
B. PURCHASE
a) Submits request for quotation to a minimum of three suppliers. Submits the quotations to the Supply Officer who selects the supplier;
b) Negotiate on behalf of MSF-B for the best price;
c) Purchase items in the Purchase Lists and Purchase Orders received from the Supply Officer only if all signatures required according to the supply guideline are on the purchase document;
d) Follows priorities given by Supply Manager;
e) Ensure that purchased goods are of good quality according to the MSF team technical advisors and MSF standard;
f) Assist the storekeeper in the quality and quantity control of the goods delivered by the supplier;
g) After the reception of goods by the storekeeper through , prepares copies of necessary documents and submit invoices to the Supply Officer for approval before clearing advances in the financial department.
C. FILING OF DATA
a) Ensure that all purchase documents are properly filed with corresponding quotations, invoices and delivery notes;
b) Provide information on local items available on the market and latest price list;
c) Files business contact list with comments, prices and any market related information.
D. ADDITIONAL TASKS (22)
a) Is part of the supply team and provide back-up whenever necessary.
3. COMMUNICATION (24)
A. MEETINGS
Participates at weekly supply meeting.
B. REPORTING
According to agreement with his supervisor.
4. OTHER (25)
The responsibilities mentioned above are not exhaustive and other work can be required according to the needs of the mission. This job description defines the guiding rules and principles specific to the post which must be respected when carrying out the abovementioned tasks and responsibilities.
THE JOB DESCRIPTION IS INTEGRAL PART OF THE CONTRACT. THEREFORE, LACK OF COMPLIANCE WITH THE ABOVE MENTIONED RULES MAY BE SANCTIONED WITH DISCIPLINARY MEASURES.
This job description can be modified according to the evolution of work.
Working hours: Saturday to Wednesday: 08:00 to 12:30 and 13:30 to 17:00 (26)
