About Ministry of Agriculture Irrigation and livestock (MAIL)
Building on the Agriculture Master Plan, the Government of the Islamic Republic of Afghanistan (GoA) in collaboration with its development partners has defined a number of appropriate priorities for agricultural investments and policies under the National Agricultural Development Framework (NADF). In order to increase farmers' incomes and improve the food security situation, the GoA is giving foremost attention to strengthening of the agricultural production base. In this respect the government has asked the World Bank for assistance in strengthening agricultural input supply Systems. Specifically, the GoA has requested the World Bank for assistance in the preparation of the Improving Agricultural Inputs Delivery System (IAIDS) project that will consist of the following four components: (i) Improve seed production and certification; (ii) Establish infrastructure and policies regarding quality control and safe use of fertilizers and agrochemicals; (iii) Improve input delivery systems; and (iv) Establish efficient project management, implementation and coordination mechanisms.The development objective of IAIDS project is to increase adoption of improved crop production technologies through expanding development of certified seeds and improving access to agricultural inputs of reliable quality.
The executive assistant will assist the project director in managing his time more efficiently and will report to the Project Director IAIDS at MAIL.
Job Summary
The details of his/her duties and responsibilities are as below:Duties and Resposibilities
• Develop proper hard and soft copy filling systems for the project director’s documents and files,• Organize and priorities incoming correspondence, telephone queries and requests,
• Operate office equipment such as photocopier, fax machine, scanner and Printer,
• Prepare reports using spreadsheet and other computer programs,
• Arrange and participate in meetings, conferences, and team activities,
• Take minutes, distribute minutes of the meeting and record decisions of the meetings,
• Communicate and provide information from relevant departments internally and externally to assist and enable Project Director in taking action,
• Manage, organize and schedule Project Director’s meetings,
• Maintain up to date contact details (phone numbers, email address, etc)
• Maintain a disciplined, clean and professional office environment,
• Distribute office stationary to the staff and keep an updated list for them,
• Carry out various administrative functions supporting the Project Director,
• Maintain monthly reports and distribute them on a regular schedule; and
• Any other tasks as assign by the Director.
Qualification
• 12th grade graduate with 2 years of experience; Or Bachelor’s degree holder with 1 year of experience in admin assistant, HR assistant, personal assistant or secretary type of jobs,• Able to speak and understand English language as well as have command on both national languages (Dari and Pashto)
• Be able to type in English and both national languages,
• Project related and government related experience would be an advantage,
• Able to work under pressure
• Able to work long hours when and if required.
• Able to work with less guidance
