Job Summary
Overall secretariat support and cooperate with Managing Director/General Operation ManagerDuties and Resposibilities
•Scheduling appointments, answering inquiries, typing memos and other correspondence, creating and maintaining company database and complaining various reports•Maintain office filling system as company procedure
•Develop proper hard and soft copy filling systems for the managing director
•Organize and priorities incoming correspondence, telephone queries and requests
•Operate office equipment such as photocopier, fax machine, scanner and Printer
•Prepare reports using spreadsheet and other computer programs
•Arrange and participate in meetings, conferences, and team activities
•Take minutes, distribute minutes of the meeting and record decisions of the meetings
•Communicate and provide information from relevant departments internally and externally to assist top management for new planning
•Maintain up to date contact details (phone numbers, email address, etc)
•Maintain a disciplined, clean and professional office environment
•Distribute office stationery to the executive and keep an updated list for them
•Carry out various administrative functions supporting the directorate
•Maintain monthly reports and distribute them on a regular schedule
•Any other tasks as assign by management
Qualification
•Bachelor’s degree in business or hospitality preferred•Minimum of two years experience in customer service
•Comprehensive knowledge of standard office practices and equipment
•Proficient in Microsoft Office (Excel, Word, PowerPoint) and/or database software
•Strong customer service, communication skills and the ability to deal with the public and staff in a courteous, pleasant and professional manner
•Knowledge of basic accounting principles required to reconcile and balance financial records
•Positive character and attitude with customers and coworkers
•Strong verbal and written communication skills, with a command of business English and spelling. Knowledge of Dari and pashto language is an asset
•Ability to organize, prioritize and perform multiple tasks to complete job functions in an orderly and efficient manner within established deadlines
•Ability to work independently and exhibit good judgment and initiative in performing job functions, seeking new ways to improve office procedures
•Good organizational skills and record keeping
