Job Summary

The Administrative supervisor will perform a variety of general administrative and clerical services. Working under the supervision of the Admin Manager. The incumbent will be required to both take direction and work intuitively to support the completion of the department’s goals and objectives in a professionally and culturally appropriate manner.

Duties and Responsibilities

• Assists in the development and distribution of staff schedules;
• Completes confidential administrative services for the Manager;
• Assists in the development of the department budget and ensures spending remains within acceptable variances;
• Providing customer service;
• Assisting with all aspects of administrative management, directory maintenance, logistics, equipment and storage;
• Managing inventory of assets and supplies, sourcing for suppliers (vendors) and submitting invoices;
• Coordinating between departments and operating units in resolving day-to-day administrative and operational problems;
• Scheduling and coordinating meetings, interviews, events and other similar activities;
• Sending out and receiving mail and packages;
• Preparing business correspondence, agendas, and presentations, typically using Microsoft Office (Word, Excel, PowerPoint, Access, Outlook);
• Sending faxes and emails;
• Managing documents and files;
• Performing multifaceted general office support;
• Sending and receiving documents for the company;
• Answering the phone;
• Assisting in various daily operations;
• Operating a range of office machines such as photocopiers and computers;
• Managing mailing or distribution lists as needed;
• Greeting guests and visitors;


• Demonstrated and significant front-line experience in working with First Nation communities;
• Ability to develop and provide leadership, guidance, motivation and vision to the management and staff of the Agency to ensure a professional standard of services to the First Nation communities, families and children;
• Must possess strong organization, evaluation and problem solving skills;
• Must be able to communicate effectively in writing and verbally;
• Working knowledge of Microsoft Office Suite, Frontline, CIMS and Pen lieu;
• Must be able to work flexible hours;
• Must have a valid driver’s license and possess own vehicle;


• Administrative Assistant diploma or related diploma or degree;
• Minimum of 5 years’ experience in a similar position in a First Nations social service agency;
