Job Summary

Project Background:

The Justice Sector Support Program (JSSP) utilizes international and Afghan advisors to train and build capacity for Afghan officials within the Ministry of Justice, Attorney General’s Office, Supreme Court, Ministry of Women’s Affairs, and other justice sector organizations. The project has over 341 local national positions, many of which are advisor positions located in Kabul and throughout the 34 provinces of Afghanistan. Afghanistan Holding Group (AHG), has extensive experience working with justice sector institutions. AHG can call on a pool of 800 short-term consultants across all 34 provinces, which is critical to quickly filling vacancies and meeting technical and training needs that arise in JSSP.

Deliverable Specialist will be responsible to compile data and compose detailed and comprehensive correspondence, reports, forms, and other documents as required. He/She should assist program staff by ensuring processes are functioning properly and recommend revisions to improve existing processes when needed.

Duties and Responsibilities

Assist the Deputy Chief of Team – Advisors (DCOT-A) and Technical Director in ensuring contract obligations are fulfilled;
Compile data and compose detailed and comprehensive correspondence, reports, forms, and other documents as required;
Support Program staff by ensuring processes are functioning properly and recommend revisions to improve existing processes when needed;
Ensure end user inquiries are handled efficiently and end results are in compliance with contractual and Standard Operating Procedures’ requirements;
Work closely with DCOT-A, Technical Director, Monitoring & Evaluation Section, and Section Leaders to ensure continuity of workflow and programmatic data collection;
Provide support in developing and monitoring metrics;
Complete special projects as needed;
Make appointments, coordinate meetings, and schedule conference rooms for supervisors and staff;
Develop and maintain computerized spreadsheets and databases to enter information and generate reports produce, revise, or refine formal presentation materials, using presentation software;
Schedule appointments and maintain daily calendar of Department Heads;
Receive travel requests and submit to Human Resources for processing;
Maintain and order office supplies;
Submit Purchase Requests as needed;
Assist with the recruiting process by tracking vacancies, preparing interview documentation and Excel documents to track candidate scores;
Process and submit visitor requests;
Complete documents necessary to obtain space from INL for trainings, workshops, meetings and other functions;
Review documents received from Management Team local nationals;
Take notes during meetings and disseminate to personnel as needed;
Submit work requests for repairs and damages;
Assist DCOT-A, Technical Director, and M&E SL in ensuring deadlines, goals, and reports are submitted in a timely manner;
Perform other duties as assigned by M&E SL, Technical Director, DCOT-A and Chief of Team (COT).

Minimum three years of experience providing administrative assistant functions with increased responsibilities
Must have previous experience compiling data and supporting documentation for reports to upper management
Demonstrated experience maintain spreadsheets and databases preferred
Experience using presentation software
Experience recruiting and interviewing personnel for vacant positions
Excellent oral and written communication skills
Experience developing and maintaining personnel database preferred
Ability to work in a fast-paced, stressful environment
