Job Duties & Responsibilities:
Administrative Tasks:
The Administrative Manager will be responsible for undertaking the following tasks and responsibilities in a professional manner:
Plan and coordinate administrative procedures and systems and devise ways to streamline processes.
Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
Develop, review and implement administrative policies with the help of departmental heads and top management, and ensure operations adhere to policies and regulations..
Create and revise systems and procedures by analyzing operating practices, record keeping, forms control, office layout, and budgetary requirements.
Prepare and implement monthly, quarterly and annual budget for the support division department.
Develop and maintain office order register and other needed documents in this regard.
Responsible for liaising with government entities to process custom clearances, license updating processing, visa application process for local staff for foreign trips and visa process for inviting the foreign visitors.
Develop inventory management system and maintain inventory levels and manage inventories as per internal policies.
Perform general administrative duties, responding to emails, ordering stationery, maintenance of equipment, etc. as required.
Manage agendas/travel arrangements/appointments etc. of senior management.
Facilitate clearance of travel claims generated based on business trips inside and outside the country.
Manage the logistics and transportation dept. including vehicles and maintain log books for controlling purposes. And manage expenses in relation to fuel, oil and repair.
Drafting contracts when required and keep in proper record.
Organize events or meetings as required.
Support the efforts, products, and/or processes of the leadership team.
Other duties may assign by management.
Master’s Degree Preferred;
Advanced knowledge of English writing and speaking;
Computer skills (Microsoft Office, Windows, Internet);
4~5 years’ experience in Administrative field and Familiar with Government Offices
Strong interpersonal and communication skills and the ability to work effectively and hardly
Ability to gather data, compile information, and prepare reports
Records maintenance skills.
Ability to use independent judgment and to manage and impart confidential information.
Ability to analyze and solve problems.
Ability to plan, develop, and coordinate multiple tasks.
Skill in organizing resources and establishing priorities.
Conflict resolution and/or mediation skills.
Demonstrated ability to maintain confidentiality.
Word processing and/or data entry skills.
Knowledge of office management principles and procedures.
Full knowledge of Government principles and procedures.
Skills in the use of database management, word processing, spreadsheet, and/or presentation software.
Ability to foster a cooperative work environment.
Knowledge of general accounting principles.
Knowledge of human resources administration principles and practices.
Effective verbal and written communication skills.
Knowledge of administrative policies and procedures as applied to government and donor.
Complete computer skills
Full English language skills in (reading, writing, and speaking).
