AIBF is seeking an enthusiastic candidate in order to develop its administrative capacities to support the continuing training and education of the financial sector in Afghanistan. The candidate shall support the administration of faculty and personnel and will work closely with the Finance Manager.
Duties & Responsibilities:
ï¶ Give report to Finance Manager about all administrative activities of the AIBF;
ï¶ Facilitating the workshop, meeting and programs conducted at the institute by arranging the stationary, refreshment and others for the program.
ï¶ Prepare, maintain and observe staff attendance register;
ï¶ Maintain the HR filing system of the office;
ï¶ Assist all staff in HR/ Admin Policies of AIBF;
ï¶ Maintain the Leave, inventory and other HR/ Administrative documents;
ï¶ Supervising the Cleaners in their duties and responsibilities;
ï¶ Supervising the Security Guards to maintain the high level security inside and outside the AIBF campus;
ï¶ Maintaining an updated Asset register and inventory list and producing timely report;
A) Make payments and receipts in accordance with finance procedures;
ï¶ Collect and examine supporting documents;
ï¶ Prepare payments vouchers and receipt vouchers;
ï¶ Maintain salary and other advance registers;
ï¶ Prepare monthly payroll and maintain personnel salary sheets;
ï¶ Prepare rental payments and ensure they are properly delivered;
ï¶ Record all transactions in computer as appropriate;
B) Ensure that all accounting records are filed and entered in an orderly manner;
C) Produce bills for staff use of vehicles; photo copier, phone and others;
D) Assist in the production of monthly accounting reports;
E) Prepare and update monthly fund request and forecast statement.
F) Perform and update salary and rent reconciliation on monthly basis.
G) Undertake any other duties that may be assigned by Finance Manager.
The ideal candidate should be at least a high school graduate and have at least Two years of working experience with one of the international organizations or private organization with sizable operation. The incumbent of the position shall understand English and shall be fluent in Dari and Pashto. The incumbent shall be computer expert and should be proficient in Excel and word. Knowledge of Quick Book accounting software is preferable
