Duties & Responsibilities:

Office Administration
• Giving administrating advises, solving office problems
• Filling system, checking attendance sheets, Emailing system meetings
• Manage the procurement of the office equipment as requested and updates the inventory list
• Keeps records of keys and keys’ user
• Organize meetings in and outside the premises Write minutes of meetings, Organize weekly monthly meeting
• Take administration advises for assistants, assist the all Organization
• Publishing PR, job announcements and other needed documents.
• Daily administrative duties, according to the needs of the project (wire transfer requests, office supplies, contracts with staff, handling of general incoming calls and correspondence, human resources and centralizing recruitment affairs, cash box, etc.) .
Personal Management
• Supervise the auxiliary and administration office staff
• Keeps, updates and files personal records
• Keeps and update yearly leaves accounts
• Prepares contracts of staff
Finance and Accountancy
• Controls, prepares and files vouchers
• Performs payment after approval of Program Director
• Follow up outstanding payments
• Provide clerical support as needed
• Review all purchase requests for budget availability and code all non coded Kabul office purchase requests with proper budget codes
• . Check all invoices for its accuracy, calculations and availability of funds and prepare payment vouchers for all financial transactions.
• Check and review the supporting documents for all financial transactions and ensure that sufficient documents to support the transactions are available.
• Ensure that all financial transactions are coded properly according to the approved budget.
• Monitor bank account and keep track of all transactions, prepare cash and bank reconciliations Record all the monthly transactions into the sub journals and ensure that codes indicated in the sub journals much those indicated on the vouchers.
• Coordinate preparation of monthly cash projection with Managers and prepare monthly cash projection for the Kabul Office.
• Maintain ledgers and record of all advances supervise the Kabul office pay master and cashier on day to day basis Conduct the mid term evaluation and yearly performance evaluation of the Kabul finance staff and provide them meaning full feedback

Qualifications:

•Degree in Accounting, HR management faculty
•Fluency in writing and speaking English and local language
•At least 3 years accumulated skills and experience in related works
•Flexible, forward looking, open, willingness to learn new things,

•Being friendly with the colleagues and works best in a team
•Computer skills
