Job Summary:

The NRAP NCU Admin/Finance Officer will operate under the overall direction of the National Coordination Unit (NCU) to devise and execute effective office management, and to support all program activities undertaken by the NCU National Coordinator and program manager.

Duties & Responsibilities:

• Provide strong office support to NCU and establish effective Administration
• Manage all incoming and outgoing correspondence, policy, personnel files, and program reports and establish a physical and computer based filling system.
• Facilitate arrangement of seminars, training workshops and other conferences
• Direct line management and keep everyone informed office discipline and procedures
• Ensure that administrative systems/procedures are in place and ensure these systems and procedures are maintained and followed by all the relevant staff,
• Facilitate travel arrangements such as reservation of flights/accommodation, obtaining visa and air tickets, security clearance for air/road mission and etc
• Facilitate job announcements, ensure full dissemination and publication, participate in interviews and recruitments
• Prepare payroll, maintain timesheets and ensure it is processed timely
• Supervise office transport and assign duties to drivers ensuring timely services, issuing fuel , maintaining logbooks and maintenance of vehicles
• Receive and operate cash maintain record of expenditures, office supply management, vehicular pool and transportation management, travel arrangements, office support services and etc
• Ensure all purchase requests, purchase orders and relevant invoices are accurate according to policies and procedures
• Maintaining an accurate recording of expenditure with retaining all invoices, receipts and accounting records
• Preparing admin/finance reports with supporting documentation
• Setting up an efficient inventory system for the office
• Ensuring well-functioning and appropriate use of tools/equipment of the programme
• Assess the security situation and advise the NCU Coordinator and other staff accordingly
• Undertaking any task delegated by the NCU coordinator, as appropriate

Job Requirement:

 Having diploma in Business administration, or substantial Knowledge of Admin/Finance
 Minimum 3 years relevant working experience in Public Administration
 Able to work independently and work long hours as required
 Written and spoken proficiency in English and Dari/Pashto
 Good knowledge of computer in particular Office Applied Packages
 Good typing speed
