About Norwegian Refugee Council:
Under the supervision of Assistant Admin/HR Manager this position will play a key role in building a robust Administration Department one key aspect of which will be ensuring reporting to the relevant Ministries is ongoing, timely and efficient. This position has been specifically developed with the intention that the individual will assist in instituting the NRC internal systems and processes while also working closely with logistics, HR and IT departments, respectively.
Duties & Responsibilities:
â€¢ Directs all Administrative matters through the Assistant Admin/HR Manager (receipt of documents, reports etc);
â€¢ Identifies and coordinates all Administrative requirements in support of NRCâ€™s operations, in conjunction with the Assistant Admin/HR Manager;
â€¢ Carries out Admin-related operational/control tasks including correspondence to Government and other agencies as required;
â€¢ Prepares recurring reports as scheduled and special reports as required for budget preparation, audits and similar reasons;
â€¢ Advises and assists employees in the area of office management.
â€¢ Arranges for and/or attends meetings on day-to-day administrative matters, participates in discussions of new or revised procedures and practices, interprets and assesses the impact of changes and makes recommendations for follow-up action;
â€¢ Prepares, on own initiative, correspondence, reports, evaluations and justifications, as required, on general administrative or specialised tasks which may be of a confidential nature within the assigned area of responsibility;
â€¢ Provides interpretation of administrative rules, regulations and procedures;
â€¢ Attends calls and in consultation with Assistant Admin/HR Manager makes appointments with Government authorities, UN agencies, NGOs etc.
â€¢ Conducts field missions, as required throughout Afghanistan in support of the NRC program;
â€¢ Maintains office records and reference files on relevant subjects.
â€¢ Drafts correspondence on routine matters.
â€¢ Meet regularly with the relevant ministries and follow up on ministry reporting requirements such as bi-annual submission to MoEc.
â€¢ Accurate translation from English to Dari of program related documents required for ministry reporting.
â€¢ Coordinates with the finance departments on issues related to ministry reporting requirements.
â€¢ Share information/data as requested from other departments.
â€¢ Performs other duties as required.
â€¢ University education, in Business Administration or related field preferred.
â€¢ At least five years experience in Administration with reputable organisation
â€¢ Strong spoken, written, and expressive English language skills
â€¢ Strong spoken, written and expressive Dari language skills as required for liaison work with the various ministerial departments.
â€¢ Strong IT skills.
â€¢ Ability to work as part of a team and independently when required.
â€¢ Responsible, reliable and punctual.
â€¢ Ability to multi-task.
â€¢ Representation skills.
