Job Summary:

ROLE PURPOSE: The Admin Officer based in Kunduz is in general responsible for overall the Administration related tasks in order to provide on time and productive support to the program and operations team and ensure the office setup is done on timely manner in Kunduz Office, also the post holder is responsible for flight arrangements, booking accommodation, providing airport pickup and drop as well as liaising with government relevant departments in order to build strong relationship between SCI and key government stakeholders he/she will work under the direct supervision of Provincial Manager.

Skills Description:


§ Demonstrable experience of managing Admin activities.

§ Experience in management of staff.

§ Fluent in English.

Excellent team-working skills & flexibility under pressure and in response to changing needs.

Duties & Responsibilities:


1.    Ensuring office is well managed and clean (Staff has enough resources for quality work, clean and office supply is available at every time).

2.    Keeping the stock updated in terms of having enough stationary, Office Supplies, ensuring office Maintenance is done based on the need.

3.    Ensuring that all payments related to property lease and electricity/water bills are done in coordination with finance officer and lease agreements are updated.

4.    Laisse with government related departments and keep record of in/out files, make sure the letters are submitted to the relevant department on time.

5.    Flights and accommodation booking is done as per the requests comes from the department and airport pickup/drop in close coordination with fleet department and CO Admin.

6.    Ensuring the meeting room is well managed and meetings minutes are always taken and recorded in files.

7.    Regular supervision of cook and cleaners in order to provide clean and safe food and other facilities for office staff.

8.    Provide support to HR during the recruitment process and Finance at the time of need and load of work.

9.    Update the office signboards and keep record of office files.

10. Raise purchase requests for office supplies, stationeries and other needed items related to admin.

11. Coordinate and communicate with program and operations staff for better control of staff attendance sheet and ensure staff are following up the standard SCI official timing.

12. Assist provincial manager for preparation of meeting agenda and other important tasks.

13. Any Other tasks given by line manager

§ Support the project/operations staff so that they comply with all relevant Save the Children policies and procedures regarding child protection and child safeguarding, for the maximum protection of children.

§ University Graduate from BBA or relevant field.

§ At least three years’ work experience, preferably with UN or INGOs.

§ Good knowledge and experience of Admin/HR, Finance, and skills including basic administration and management.

§ Physically fit and strong.

§ Able to work independently with little supervision.

§ Good interpersonal and team working skills.

§ Excellent computer skills on Ms Word, Ms Excel, Ms Power Point and Ms Outlook.

§ Fluency of English language skills in speaking, writing, reading, formatting and Communication.



§ Demonstrable experience of managing Admin activities.
