OXUS Afghanistan started Operation in 2005 under support of ACTED, a development and relief NGO, which is operating in twenty five Countries of the world, and Microfinance Investment Support Facility for Afghanistan (MISFA). Currently, OXUS Afghanistan has a portfolio of over AFN 816 million with an outreach of about 22,000 customers managed through 19 Branches, 10 provinces. OXUS Afghanistan is a part of OXUS Group, a global network of Microfinance Institutions created by ACTED, a leading international NGO operating in 25 countries. OXUS Afghanistan was created with funding from the Microfinance Investment Support Facility for Afghanistan (MISFA), a Government Apex agency set up by international donors in 2003 in order to develop and support the microfinance sector in Afghanistan. OXUS Afghanistan Provides conventional and Islamic financing. OXUS -Afghanistan has individual and group lending which helps Afghan people have access to finance. OXUS-Afghanistan provides financing for youth and women as women improvement process and support them for better access to finance.

Duties & Responsibilities:

Duties and Responsibilities
1)Administration Management:
The Admin Officer is responsible for both sections as bellow.
a)Administration;
b)Liaison Statutory compliance;

•Prepare and update all branches contract and record them in their folders regularly,
•File the hard copies of all original copy of office contracts is available in Head Quarter Office,
•Make sure the office contracts follow up is update in the monthly basis,
b)Liaison Statutory compliance
•Liaise with Governmental Offices and different embassies in link with Admin Supervisor or Human Resources department, if required.
•Apply the Custom Department procedures, and Tax filling clearance of OXUS Afghanistan with Ministry of Finance, Customs Department, Large tax office in every year,
•Arrange the travel internally and all over the world,
•Provide Afghan visas in the Country and invitation letter for all expats in link with Human Resources Manager or Administration Supervisor to different nationality such as, French, USA, Indian, Uzbek and etc,
•Provide and update the work permit for all expats,
2)Others
•Provide the Dari letters to Ministries, and Governmental Offices for different purpose, if required,
•Provide the request and guarantee letter to different companies (ETISALAT and AWCC),
•Follow to receive on time the letters from different sources of Government,
•Quite frequent travels to branches,
3)Logistician is responsible for the following;
a)Transportation Assets Management;
b)Vehicle Fleet Management
c)Fixed assets management:
d)Filing/Reporting:
a.Transportation assets management:
•Give the “Vehicle Checklist” to the drivers and collect it at the begging of the week. Fill in a “Request form” with the driver and the mechanic in case of problem in the car.
•Follow up of car repair according to OXUS Afghanistan official procedure.
•Give slips when drivers need fuel, to drivers to get fuel from supplier already defined according to the norm of consumption of the car and check and control of vehicles’ log book
•Use every month, the “OXUS Afghanistan monthly fuel consumption sheet” to calculate the total litters and km as well as the average consumption.
•Report these figures on the “repair and fuel consumption follow-up”/monthly report.
•Collect all “repairs and fuel consumption costs from all branches and makes a summary sheet of fuel consumption and repair cost for all Afghanistan.
•Get a copy of log book from branch for each month.
•Update car location follow up.
•Contact regularly with branch and evaluate their needs.
•Perform other duties requested by his/her supervisor.
b.Vehicle Fleet Management;
•Vehicle follow up (location, missions);
•Arrange flights, lodging, meals, and transportation for office employees.
•Booking of vehicles as per OXUS Afghanistan policy;
c.Fixed assets management:
•Inventory of all assets every year;
•Allocation of assets to employees;
•Management of the fixed assets registry;
•Maintain procurement filing system;
•To ensure that all car documents are up-to-date and renew authorizations when needed.
d.Filing/Reporting
•At the end of each month, collect all information regarding each activity and submit them to HR Head.
•Present a monthly report on activities (transportation, fuel consumption, purchasing done (order follow-up,).

Job Requirement:

Qualifications and skills required:

a)University Degree (any country) in Business, Management;
b)Minimum two (2) years working experience,
c)Strong computer skills including Word, Excel;
d)Excellent communication and writing skills;
e)Strong organizational and interpersonal skills;
f) Able to work independently and in a group, willing to take initiative, and energetic;
g)Fluent in English and Dari;
