Job Summary

Job Summary:
The officer of administrator will work as a team member of National Cancer Control Program (NCCP) of DGCM and specially will work as administrator for NCCP office activities. He/she will report to National Cancer Control Program coordinator.

Duties & Responsibilities

Duties & Responsibilities:
1. Ensure that administrative activities are coordinated among all departments of DGCM and directorate at MoPH and external organization
2. Full administration support to NCCP in order to take, record, give and distribute the official letter, documents and invitations to different departments within MoPH and outside organizations.
3. To check official mails coming to research program and sending official mails to different departments
4. To supervise performance of cleaner/helper and advise them for the improvement of their work.
5. To be fully responsible for the work of the admin section under his/her responsibility.
6. To check the daily performance of the office cleaners, photocopiers and tea-persons.
7. To calculate the monthly expenses of foodstuff (sugar, chocolate etc) and purchase them on monthly/quarterly basis together with the cleaner/helpers.
8. To prepare memos, letters, etc and develop and maintain the filing system of NCCP (employment records, correspondence, meeting minutes, reports etc).
9. To report demand for repair or spare parts required to the NCCP and/or coordinator any
10. Ensure maintenance and functioning of office facilities (internet, heating, space etc) and office equipment (printing and copying machines and furniture).
11. Monitor the supply and prepare requisition request for all cleaning and maintenance materials in consultation with Facilities Manager, ensuring the proper organization, storage and inventory of purchases.
12. Monitor the supply and prepare requisition requests for all office expendable clerical supplies;, ensuring the adequate supply, proper organization, storage and inventory of purchases.
13. Coordinate printing and reproduction services including reports, training materials, business cards, brochures and similar items, identifying qualified service providers.
14. Identify office furniture, furnishings, clerical supply, and equipment vendors.
15. Responsible for project training and meeting space reservations and coordination of all required logistical support in consultation with project coordinator.
16. Arrange and coordinate staff lodging and accommodation for in and out of the country travel.

18. Communicate all internal documents with responsible departments and proper follow-up of documentation
19. Translation of documents from English-Pashto/Dari or Pashto/Dari-English
20. Ensure confidentiality when required and obey all government rule and regulations
21. Accomplish any other activity assigned by his/her manager.
22. All official works which is given by head of program.
23. Submit monthly report to the project coordinator support summarizing activities and problems encountered/resolved.
24. Other administrative, logistical support tasks as may be assigned by the coordinator

Job Requirements


At least graduated of 12th grade (Baccalaureate). Diploma in Administration from a well-known institute will be preferred.

At least five years in a similar position, preferably experience of work with public sector and/or NGOs.

Good written and communicational Skills in Pashto, Dari, and English.

Honest, active and well-mannered with proven skill of supervising cleaners, to give instructions and keep motivation high.

Computer knowledge at operational level Ms Office as its standards software and Internet.

Being an Afghan citizen

Good interpersonal and communication skills.
