The Administrative Officer will provide administrative support to the Contracts staff by performing all sorts of administrative and clerical works needed for smooth functioning of the Contracts Department. The Administrative Officer will be responsible for the following detailed tasks, but not limited to
Duties & Responsibilities:
Developing and maintaining office filing systems; takes, prepares, and distributes minutes from meetings.
Assisting the staff of the Contracts Department with the preparation of reports, Request for Proposals (RFPs) and/or Invitation for Bids (IFBs).
Tracking and processing all leave requests with direct supervisory approval.
Handle mail, and electronic communications; compose and type correspondence as required.
Route messages and information to appropriate individuals, paying particular attention to channelling communications to other relevant departments.
Providing written translation of documents as needed by the Contracts Department.
Assisting and facilitating the staff with official memos and correspondence.
Help manage the professional staff calendar; schedule and prepare materials for meetings.
Perform other duties as required
High School Diploma or equivalent in related field
At least 3 years work experience in the administrative support field preferably with international donor-funded projects, UN agencies or NGOâ€™s.
Proven ability to work as part of a team.
Fluency in English, Pashto and Dari
Excellent verbal and written communication skills.
Ability to develop and maintain excellent contacts and working relationships with senior staff and other departments.
Computer literate with e-mail, word processing and spread sheet, printing, scanning and converting files to PDF.
