ARYAZONE, Inc (AZI) is recruiting a result driven Administration and HR Manager responsible for the overall administration and HR related activities. The incumbent is liable towards providing the best administrative and HR experience in AZI office by ensuring high standards of inter-related office services and thereby ensuring the smooth functioning of the office by adopting the pre-established organization polices. He/she is required to maintain mutually understanding, team working, friendly, ethically and disciplinary oriented working environment. He/she needs to be goal oriented to achieve the best of the organization objectives but leading a team of professionals.
The incumbent job descriptions are day-to-day administrative services which include but not limited to office, equipment and security maintenance, and HR management and Development.
Administration Duties:
Develop, review and implement administrative policies with the help of departmental heads and AZI top management;
Create and revise systems and procedures by analyzing operating practices, record keepings, forms control, office layout, and budgetary requirements;
Interprets policies, objectives and operational procedures to department heads;
Prepare and implement monthly, quarterly and annual budget for the administration department;
Evaluate the process and internal management system of AZI to increase organizational productivity;
Directs and coordinates the activities of several facility departments and divisions;
Supervise administrative staff and security guards and segregate responsibilities to ensure smooth functioning;
Develop healthy, hygienic and safety measures and implement it within AZI premises;
Develop and maintain system for managing records with highest degree of effectiveness and safety;
Resolves issues with facility department heads concerning such matters as staffing, HR services and utilization of facilities, equipment and supplies;
Acts as liaison and major resource person between line ministries, ICI group companies and other stakeholders;
Maintaining Corresponding, visitor and machinery logbook;
Support visa, ticket process and documentation for staff;
Assist international employees to get work permit;
Manage logistics and procurement operation of the AZI;
Develop inventory management system and maintain inventory levels and manage inventories as per internal policies of ICI;
Develop and Maintain services and facilities contracts;
Maintain proper management of stores;
Maintain office equipment and facilities at top working conditions;
Ensure effective utilization of resources;
Manage agendas/travel arrangements/appointments etc. of senior management;
Manage Transportation facilities;
Prepare regular reports; and
Any other activity assigned by the line manager.
HR Management Duties:
Close coordinate of all HR related activities with AZI CEO and with a close collaboration of ICI HR Department;
Develop and review the current HR policies in compliance to ICI HR regulation and the prevailing law of the Afghanistan;
Initiate, lead and recommend initiatives to improve HR policies and procedures, work environment and culture at the local level;
Monitor and ensure the daily staff regulations in terms of attendance, leave, policies acceptance and staff negligence;
Develop ToRs, advertise the position, collect CVs, shortlist the applicants and manage the interview in a most transparent manner;
Ensure that personnel files are maintained and appropriately copied including contracts, job descriptions, performance evaluations, compensation details, attendance record, ID, Passport, attested education documents and working certificate if any;
Introduction of newly hired employee and availing them with all assigned facilities in timely manner and in a close coordination with Administration;
Communicate the admin and finance related documents such as pay roll, attendance, resignation, termination, clearance, etc within the specific time frame.
Manage the probationary and annual performance of the staff soon after contract expiry, and facilitates the training and learning program for local employees, where required;
Maintain the strictest confidentiality in relation to the work of human resources management including not only personnel records but day to day human resources actions;
Maintain human resource staff job results by counseling and disciplining employees;
Planning, monitoring, and appraising job results;
Maintain historical human resource records by designing a filing and retrieval system; keeping past and current records;
Ensure that hiring and employment practices are in compliance with the organization policies, local standards and regulations and that hiring managers are trained in the process;
Conduct exit interviews for voluntary departures; and
Other tasks assigned by the line manager.

Position and Expected Working Hours:
This is a full-time position. Days and hours of work are Saturday through Thursday, 8:00 a.m. to 5 p.m. This position regularly requires long hours and weeken dwork.
Travel Requirement:
Travel is primarily local during the business day, although some out-of-area, overnight and outside the country travel may be expected.
Bachelor Degree in Human Resources, Administration, Leadership, Training & Development or other relevant field of study. Master Degree in MBA is preferred;
A minimum of 4 years relevant experience. At least 2 years in a managerial and/or supervisory capacity;
Ability to work independently and as a team member, ability to build rapport and collaborate with diverse groups and departments;
Excellent knowledge of local labor laws, HR rules and regulations in Afghanistan.
Active listening, negotiation and presentation skills;
Great attitude and ethics of management;
Strong interpersonal and communications skills;
Target oriented;
Ability to quickly grasp new concepts, ideas and procedures;
Commitment to expand or build on existing skills and knowledge through training and on-the-job learning.
Excellent Dari, Pashtu and English communication is required; and
Excellent computer skills which include Ms. Windows, word, excel and power point.
