Job Summary

The Administration Manager will be responsible for overall administrative activities in the company. Further duties and responsibilities are mentioned as bellow:

Duties & Responsibilities

1- Manage administrative department, maintain a safe and secure work environment.
2- Ensure rules and procedures are in place regarding working hours, lunch, office closure and maintain stationary supplies and coordinating deliveries.
3- Admin Manager has the overall responsibility of controlling a team of admin officers, tasked to control the financial account of a construction project in all aspects including the cash and material Flow, clearance of the expensed budget, Preparing documentation and reports.
4- Admin Manager must have the ability to manage such a team, with developing, Maintaining, and implementing the standard rules and regulations of administrative systems and controls.
5- Prepare all deliveries on a timely manner and accurate monthly, quarterly and yearly financial statements, daily cash management reports, balance sheet reconciliations and various detailed analysis reports required by Project Managers, regulations, and board of directors.
6- Timely Reconciliation of advance payments to (Procurement, Projects Site Admin, Employee, Transport, Subcontractor, and supplier).
7- Maintain organized set of detailed records and files to document financial transactions to (Subcontractors, Suppliers, Projects, Material by Type, and so on).
8- Manage electronic filing system (SAP).
9- Review and maintain administrative systems for the efficient functioning of the office.
10- Assist HR management in recruitment of qualified and result-oriented personnel.
11- In coordination with HR, assess staff performance and provide coaching and guidance to ensure maximum efficiency.
12- Agenda management: booking, schedule meeting, travels, meeting, arrange hotel for VIP.
13- Develop and maintain efficient and accurate manual filing systems.
14- Over all verification and partially reconciliation of projects expense.
15- Over all verification and draw a standard accountancy and accountability method for project expense verification.
16- Preparing new policy and procedures to control and check site expenses to avail fraud and corruption.
17- Provide a cost analysis at the end of each month.
18- Finalize all project expense for final recording and report.
19- Ensure the smooth and adequate flow of information within the company to facilitate other business operations
20- Oversee facilities services, maintenance activities and tradespersons (e.g. electricians)
21- Prepare all necessary and required documentation including daily, weekly, monthly, quarterly and Yearly financial report to Project managers and other levels of Authority in STATE CORPS.
22- Organize and supervise other office activities (recycling, renovations, event planning etc.)
23- Assist in development and implementation of new procedures and features to enhance the workflow of the department.
24- Any other tasks that shall be assigned by the top management.

Job Requirements


Bachelor Degree in Business Administration is a must.

Master Degree in Business Administration is Preferred.

4-5 years’ experience in Administration & HR management is required.

Excellent English & National languages are Must.

Excellent computer skills, Ms Office Package, Internet.

Great attitude and ethics of management and leadership required.
Excellent Dari, Pashto and English communication.
Great attitude and ethics of management and leadership.
Conflict Management and Problem skills.
IT Skills – Excellent knowledge of operating systems, Ms. Office package
Good Technical, Organizational skills and Interpersonal skills.
