Job Summary:

The Road Maintenance Unite - Task Order 14, Administrative Assistant will be responsible to assist the Logistics, Office Manager, Task Order Manager, Deputy Task Order Manager, and every professional working in Task Order 14 with all administrative tasks of the project and any reasonable administrative task requested by the above mentioned professionals:

Duties & Responsibilities:

Major Duties and Responsibilities:

• Publish Daily Report in the IRP Expedition system.
• Keep daily records of the O and M staff visiting the RMU office at MPW.
• Keep daily attendance record for all TO-14 personnel.
• Keep and post updated schedules of all the movement under TO-14.
• Assist with the preparation of Monthly Time Sheets.
• Assist with the preparation and processing of leave requests and records.
• Assist with drafting correspondence, reports, documents and other written materials.
• Review document for accuracy and completeness.
• Assist translating document from English to Dari and vice versa as required.
• Record minutes of meetings.
• Maintain adequate inventories and order office supplies as needed.
• Answer telephone calls and relay messages.
• Perform research activities as requested.
• Help maintain office files and records.
• Scan copy and collate documents, send faxes and perform other office tasks.
• Sort and distribute incoming and outgoing inter office mail.
• Prepare and process purchase requisitions and other financial documents produced and needed under TO-14.
• Help keep office files and equipment neat and well organized.
• Assist with the preparation and processing of travel requests.
• Assist with the preparation of training sessions and other TO-14 events.
• Carry out any other office relevant duties as requested by the Task order 14 Manager.

Job Requirement:

Essential Qualifications:

• High School Diploma.
• Advanced knowledge of computer, Internet, Email, MS Office Applications (Word, Excel, Power Point, and Access), and data entry experience with the Primavera System (Expedition).
• Strong command of reading, speaking and writing of English, Dari and Pashto languages.
• Strong communication and interpersonal skills.

Desirable Qualifications:

• Experience in working with large or International NGOs would be an advantage.

Education:

• High School Diploma is required.

Experience:

• Minimum of 1 year experience in Office Administration with large or International NGOs.
• Experience of filing and track keeping of correspondence and other regular administrative related duties.

Language Requirements:

• Strong command of reading, speaking and writing of English, Dari and Pashto languages.

Abilities and Skills:

• Ability to work in a team, ability to work under pressure to meet the deadlines and excellent interpersonal skills are required.
