Job Summary:
PURPOSE:
The Administrative Assistant will assist in clerical duties in the ASI office in compliance with DAI policy and procedures
Duties & Responsibilities:
The Administrative Assistant will perform the following functions but not limited to:
• Support Deputy Operations Manager in operations and clerical services for the ASI team;
• Make photocopies and distribute correspondence as appropriate;
• Help the Operations Manager with Pashto, Dari and English typing/translation;
• Support Deputy Operations Manager and technical sections in distribution of invitations, letters, books, meetings minutes and other printed material as needed;
• Support Deputy Operations Manager with printing, copying and binding materials;
• Support Senior HR Manager to track the visas and work permits expiry dates for international staff
• Prepare, submit and follow up with all necessary documentation for visas and work permits for international staff
• Arrange and track air/ground transportation requests for international and local staff
• Arrange and track accommodation for international and local staff
• Track and monitor the meal plan for international and local staff
• Carry out other duties and responsibilities as directed by the Operations Manager/Deputy Operations Manager.
Job Requirement:
EDUCATION
• Secondary school education required.
WORK EXPERIENCE
• Minimum of 2 years experience in an equivalent position. Experience working in a similar position for an NGO or an international organization is preferred. Must also have the ability to work effectively in a fast-paced, stressful environment. In addition, must be flexible, willing to perform other duties and work irregular hours.
