Under the direct supervision of the Director of Water, Sanitation and Infrastructure (WSI) the Administrative Assistant to the Department of WSI will provide secretarial, clerical, and other designated support to the Department of WSI to ensure the successful execution of the ARD/SWSS project.
The maintenance of strict confidentiality of written communications and discussions of a sensitive nature will be an essential requirement.
•Respond to the administrative and departmental needs of the director and colleagues within the department;
•Service the telephone and email inquiries and correspondence between the project and all subcontractors, at the instruction of director.
•Filing of all sorts as required;
•Receive, register, distribute and file all official in-coming and out-going project correspondence, and interoffice communication specifically requested by anyone in the department at the instruction of the director;
•Establish and maintain a central filing system for paper and electronic documents for all technical activities, including project reports, studies, consultant reports, workshop summaries and other project deliverables;
•Ensure copies of contract deliverables are submitted to the contracts unit and USAID as required for contract compliance;
•Prepare letters, memos, emails and other communication, reports and correspondence as requested by the director;
•Photocopy and scan all documents as requested by the director or colleagues within the department;
•Monitor department individual and office supply needs and prepare requisitions to be forwarded to the administrative support unit designated staff;
•Assist department personnel in the planning and execution of project travel, workshops and seminars in the completion and submission of required administrative documentation;
•Maintain close, collaborative working relationship with all project staff in receiving and responding to requests for director follow-up actions for project activities, and any needed information that may be required;
•Perform other tasks that may be assigned by the director of WSI.
EDUCATION: At least high school graduate. College education in preferable.
WORK EXPERIENCE: Minimum of 3 years experience in an equivalent position with International organizations. Work experienced in USAID funded project is a plus.
SKILLS: Working knowledge of English, both written and spoke. Able to communicate fluently effectively both verbally and in writing. Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for colleagues. Must be capable of working both individually and as part of a team. Must also be able to create a supportive working relationship among all project teams.
LANGUAGES: Excellent Language proficiency in spoken and written Dari, Pashto, Urdu, English.
GENERAL: Tactfulness, Enthusiasm to the job. Good Human Relation skills, integrity and ability to work under pressure.
