The Country Director (CD) Desk Officer is responsible for meeting all the official needs both internally and externally of the Country Directorâ€™s Office. This will include daily delivery of internal and external communications, liaising with other staff and to contribute to wider field of communications and work programmes.
Duties & Responsibilities:
â€¢Perform the usual clerical functions such as preparing correspondences, receiving visitors, arranging and scheduling meetings and setting up conference calls.
â€¢Take the minutes of essential meetings like Core Management Team (CMT) meeting and other meetings which the CD will require documentation and make sure to follow up the action items borne from those meetings.
â€¢Provide administrative support by going through researches, editing reports, proofread correspondences and other pertinent documents that are all emanating from the CD Office (e.g. letters, funding proposals, press releases, public relations materials and newsletters).
â€¢Manage the CD workload, act as a gatekeeper and follow up meetings, external contacts and ensure that all external deliverables are being met.
â€¢Maintain or improve on structures for inter-team communications within the organization.
â€¢Monitor the tasks delegated by the CD to staff to ensure that work is achieved as per agreed deadlines.
â€¢To work closely with CD and senior management to ensure that all documents (contracts, reports and database) are on track.
â€¢To create and manage the CD and Communications filing system (both hard and soft).
â€¢May also train lower-level clerical staff as and when needed.

Required Knowledge, Skills and Experience:
â€¢Degree in Social Science, Communication, Journalism, Public Relations or equivalent level of qualification;
â€¢Two years experience in a secretarial job, in support of a senior manager;
â€¢Fluent in English, both verbal and written;
â€¢Excellent organization and communication skills (both written and verbal);
â€¢Understanding of basic office management to large-scale operations that may entail minimum to maximum level of tolerance and patience as well as wit and wisdom;
â€¢A good understanding of humanitarian and development issues;
â€¢IT literate, especially Microsoft Word, Microsoft Excel, Email and Internet;
â€¢Ability to work in a team in an office-based environment;
â€¢Experience of working for an international Non-Governmental Organization (INGO); and
â€¢Ability to commit to a minimum of one year.
