PURPOSE OF POSITION
To assist the Procurement Department to prepare and maintain data bases by gathering purchase request from departments, recording in procurement register book and tracking procurement process of goods and services and entering in tracking sheet daily basis. Provide information on the subject of procurement process and stage procurement actual cost of goods and services to relevant departments and and other relevant information. Ensure all the documents are filed and kept in order. Support procurement officers and assistants in preparing analysis sheet, minutes of the bid committee and contracts of procurement.
Duties & Responsibilities:
â€¢ Daily entering of purchase request [PR] in the procurement register book.
â€¢ Ensure the purchase requests are numbered and filed as soon as registered in the book and given to the procurement system officer.
â€¢ Maintain procurement tracking sheet in computer in daily basis and updated with all the relevant information.
â€¢ Ensure all stationery for the department is kept in a safe place and maintain a inventory book.
â€¢ Purchase request has to be prepared for stationery for procurement department whenever needs arise for the department
â€¢ Ensure filing list is updated and procurement files are kept in a safe place
â€¢ Review and check the tracking sheet and PR register to follow up the process of procurement of goods and services.
â€¢ Update procurement process in the white boards where staff from other departments can access to see the progress of the goods and services of procurement for their relevant departments.
â€¢ Assist procurement officer/ Assistants to prepare analysis sheet, bid committee minutes and contracts.
â€¢ Tracking and preparing orders for Good Receive Notes, Waybills, books for all the offices.
â€¢ Collecting and entering the prices of the items in to logistic catalog every month keep hard copy in the file.
â€¢ Preparing suppliers list and maintaining data base for all the suppliers and update every six months.
â€¢ Carry out any other duties as requested by your supervisor.
â€¢ High school certificate or equivalent
â€¢ 1 year Experience in administration and data entry operations preferred
â€¢ Good computer skills, including database management
â€¢ Fluent in English both oral and written
â€¢ Ability to communicate effectively with a wide range of audiences
â€¢ Willing to work at odd hours when necessary
â€¢ Ability to work in a cross â€“cultural and multi religious environment with multinational staff
â€¢ An attitude for personal growth/learning
