The Document Control Assistant will be mainly responsible for filing and managing documents from various sources into the computer system for storage, processing, analysis and data management purposes.
Check source documents for accuracy.
Obtain further information for incomplete documents.
Combine and rearrange data from source documents where required.
Format documents in line with visual standards set forth under ESP.
Store completed documents in designated locations.
Respond to requests for information and access relevant files.
Provide any kind of support to the management team and Document Control (DC) department.
Maintain and work with online management systems with quality and regularity.
Upload the data to the online websites as per the company contract requirements.
Responsible for storing, managing and tracking the documents.
Ensure documents follow live file naming standards.
Day-to-day organization and filing of any correspondences exchanged between the company and the clients.
Maintain both hard and soft filling system for the unit.
Coordinate administrative work to support ESP staff as requested.
Any other tasks assigned by the Document Control Manager.
University graduate; formal computer training an advantage, experience formatting, filing and organizing documents is a requirement.
Proficient in relevant computer applications such as MS Office.
Accurate keyboard skills and proven ability to enter data at the required speed.
Knowledge of correct spelling, grammar and punctuation.
Knowledge of clerical and administrative procedures.
At least 2 or 3 years of experience in relevant field, preferably with International donor-funded projects or NGOs
Information collection and management.
Capability of handling highly sensitive and confidential information.
Problem solving and good decision making skills.
Attention to detail.
Written and verbal communication skills in English and Dari / Pashto.
Ability and willingness to work under pressure.
Professionalism in appearance and demeanor.
Ability to determine and review priorities, plan and meet deadlines.
