Job Summary

The Events Manager manages/supports Tetra Tech women's leadership Development Project technical conferences, trainings, workshops, and social gatherings of different levels within budget, that meet (and hopefully exceed) expectations. S/he reports to Deputy Chief of Party.

Duties & Responsibilities


Provide leadership, motivation, direction and support to events’ management team to ensure excellent service and quality delivery of events

In close coordination with WLD Project technical team, develop monthly, quarterly and annual event calendars

In close coordination with technical team, prepare invitations and send out at appropriate time with read‐ahead documents to all participants

Coordinate with admin and logistic units to make sure that guests/participants are well accommodated

Coordinate with communication unit of WLD project to ensure proper organizational branding at all events

Lead and conduct pre-event coordination and rehearsal meetings with technical and logistics/administration teams at least one week before the event

Communicate event information with Admin, Finance, security and GW team prior to the event

Ensure submission of finalized event’s materials by technical team for printing at least one week before the event

Ensure and promote use of event’s checklist for all events supported by WLD project.

Set up booths, flowers, decorations, and other event décor as needed.

Make sure proper registration of participants during the event and ensure day of event goes smoothly.

On time distribution of event certificates to participants (if applicable).

Develop and maintain a comprehensive project events record keeping and filing system both in soft and hard version.

Lead the event team to gather spare/ left over materials for next project events.

Support post events financial and logistics clearance in close coordination with project logistics and finance teams.

Cooperate with finance/admin teams on administrative issues, such as payment of travel cost, per diems, etc

Analyze event performance and support team for continuous improvement.

Comply with WLD Project’s administrative, financial, operational, security and other guidelines and policies

Attend project team and other relevant internal and external meetings

Any other tasks assigned by the supervisor.

Job Requirements


Bachelor’s degree (or foreign equivalent) related field.

Minimum of 5 years of related experience in public relations, public outreach, or communications for development at a senior level.

Extensive knowledge and experience of various events at national and provincial levels

Experience working in a similar position for an NGO or an international organization in a high level capacity.

Experience with USG project implementation and USG rules and regulations, especially USAID.

Demonstrated experience producing, editing, and copyediting written products such as articles, reports, fact sheets, speeches, success stories, and press releases.

Ability to work in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity and gender.

Proven ability to develop and guide others in the development of extremely high quality products at all times. Strong communication and interpersonal skills and ability to work with all levels and functions within the company.

Ability to work independently and as part of a team, accept responsibility, and be extremely discrete with sensitive information. Must also be able to foster supportive working relationships among all staff.

Must have the ability to work effectively in a fast-paced, stressful environment. In addition, must be flexible and willing to perform other duties and work irregular hours as needed.

Proficiency in Microsoft Office package, especially Excel, Outlook, PowerPoint, SharePoint, Word, and Photoshop.

Excellent language proficiency in spoken and written Dari, Pashto, and English.
