The Executive Assistant to the Head of Program will be tasked to maintain the Head of Program's agenda, arrange appointments, attend to protocol matters and maintain a filing and correspondence system for the Head of Program. The Executive Assistant will also participate in the organization and the preparation of staff and other meetings and will take meeting minutes. He/she will provide ongoing support to the Head of Program in various areas and will coordinate with others involved in the office towards achieving the AREDP's vision of responsiveness, productivity and efficiency
• Arrange appointments and maintain the Head of Office agenda, arrange meetings, receive visitors, place and screen telephone calls;
• Prepare briefing materials and correspondence for the Head of Office;
• Attend to protocol matters and maintain filing and correspondence system for the Head of Office;
• Participate in the organization and the preparation of staff and other meetings and take minutes;
• Maintain contacts and facilitate information exchange between office members, work partners (governmental and non-governmental institutions) and other institutions;
• Maintain positive relationships with donors and clients;
• Monitor national print media and provide regular and reliable information about economic developments in Afghanistan, to the Head of Program;
• Maintain good liaison with MRRD departments, and national and regional programs;
• Assist in the preparation of powerpoint presentations, the compilation of statistics and the drafting of reports;
• Keep the database of official contacts;
• Assist in the organization and the logistics of official travel for the Head of Program;
• Perform any other duties as required
• Qualifications: At least a Bachelors degree, preferably in Business Administration, management, or any other related field;
• Experience: At least two years of progressively responsible experience, preferably in a similar capacity or in a senior secretarial position. The ideal candidate would have a demonstrated interest in rural development and have experience in working with governmental and non-governmental institutions;
• Management skills: planning, organizing, prioritizing, time management, conflict management and a proven ability to manage staff;
• Communication skills: excellent communication skills (reading, writing, listening) with
• Fluency in Dari and English are required. Pastho would be a further asset;
• Computer/Technology skills: the applicant should be well acquainted with MS Word, MS Excel, MS Power Point and MS Outlook. The applicant should also be able to browse the internet and to use instant messaging

5.0 REPORTING RELATIONSHIPS
Reports to Executive Director and is accountable to the AREDP Senior Management Team.
6.0 PERIOD OF ASSIGNMENT
5 Years - subject to annual renewal extensions based on performance. There is an initial probation period of 3 months, and the initial contract will be until 31 December 2010.
