Job Summary

• Responsible for arrangement of appointments for the director
• Gather data for narrative reports from the departments
• Help in developing narrative reports with the director
• Create Filing tools and reports using spreadsheets.
• Arrange and participate in meetings, conferences, and team activities.
• Communicate and provide information from relevant departments internally and externally to assist and enable Director in taking action.
• Manage, organize and schedule Director’s meetings.
• File all the in-out letters/documents.
• Carry out various administrative functions supporting the Director.
• Manage and schedule regular meetings and record the minutes of the meeting(s) and distribute them.
• Maintain monthly reports and distribute them on a regular schedule.
• Any other tasks as assign by Director.
• Report to the Director.
• Prepare the agenda of Scheduled meetings of the Director;
• Entertain and make telephone calls on behalf of the Director and the Office;
• Draft letters in reply to routine official communications;
• Perform such other tasks as may be assigned from time to time.
• Receiving visitors and making appointments;
• Registering and keeping records of all incoming and outgoing mails;

Job Requirements

• High school graduate, University Graduate is preferred.
• Two years of work experience in a similar position.
• Two years experience with an international organization or NGO preferred.
• Computer Skills - Must be familiar with using computer (MS Office)
• English language proficiency as well as both national languages (both verbal and written).
