PIU/ACD/SCRTFP-AF, Multi Location
The purpose of Executive Officer (EO) Position is to provide top-level assistance to the Director General of ACD in day to day operations and high-end duties. The Executive officer not only handles incoming and outgoing communications, but also will be in charge of scheduling meetings, maintaining complex filing systems and databases, reviewing and preparing documents and possibly tracking tasks with other staff.
Act as a focal point between the Director General and internal/ external parties
Plan and prepare for meetings, set agendas, coordinate/prepare briefings, prepare presentations and attend meetings as appropriate.
Maintains Director General’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travels.
Collect, and report relevant information and data to support the activities of Director General as required for regular preparation of reports and briefings.
Attend and take minutes at meetings, and deal with any follow up action
Attend visits and take responsibility for ensuring that all follow up actions are delivered
Research, examine, study, and report regularly, and give advices on important issues to the Director General
Examine all documents; draft of requests, files or other opinions before submitting to the Director General for approval
Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
Secure information by completing data base backups
Provide historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions
Maintain office supplies; anticipate needed supplies; and verify receipt of supplies
a. Education
Bachelor Degree in Business Administration, Public Policy or any other relevant field
b. Work Experience
Minimum 4 years of progressively responsible secretarial, administrative and operations experience is required.
At least 1 years of experience with the government organizations.
Excellent knowledge of MS Office
Fluency in both oral and written English, Pashto and Dari languages are essential.
