The Facilities Specialist reports to the Facilities Manager or HR/Admin Director and supports the Project team in all activities related to facilities and Office/Administration according to ARDâ€™s policies and procedures as well as USAID requirements.
Duties & Responsibilities:
MAIN RESPONSIBILITIES AND TASKS:
â€¢ Daily inspection of office and residence buildings to monitor and supervise all necessary cleaning, maintenance, and repair staff members.
â€¢ Direct supervision of full-time office maintenance staff and cooks in the performance of their day-to-day tasks.
â€¢ Provide all required training and support to supervised staff to enhance efficiency and productivity.
â€¢ Monitor the kitchen food services organization and efficiency to ensure the timely ordering, stocking and supply of food items; hygienic practices for food storage, handling and subsequent preparation; prompt delivery of meals at the determined hour.
â€¢ Inspect regularly all office and residential appliances and equipment to include the immediate maintenance and repair of non-functioning items; ensure the replacement of defective lighting and electrical fixtures; provide cleaning schedule for necessary equipment, including air conditioning cooling/heating units; establish controls for all office residential property deliveries and removals.
â€¢ Monitor and maintain adequate fuel supply levels for office, residential generator supplies, including scheduling and supervision of fuel deliveries.
â€¢ Ensure adequate accommodation for all ADP/SW short and long term staff lodged at staff residence in coordination with project life support needs.
â€¢ Ensure laundry service is organized and runs effectively at the residences.
â€¢ Ensure all office and residential bathrooms and toilets are functional and have sufficient toiletries.
â€¢ Responsible for the day-to-day management of the ADP/SW Farah office;
â€¢ Establish and maintain effective office information management systems including files, hardware, software, and technical support;
â€¢ Manage the facilitation of special events, staff meetings and workshops as requested;
â€¢ Coordinate with the HR/Admin Director regarding any potential new staff;
â€¢ Any other tasks assigned by the supervisor
QUALIFICATIONS: (MINIMUM REQUIREMENTS)
EDUCATION: 12 class graduate.
WORK EXPERIENCE: Minimum of 1-2 years experience in an equivalent position. Experience working in a similar position for an NGO or an international organization is preferred. USAID funded project experience is a clear plus. Must have the ability to work effectively
in a fast-paced, stressful environment. In addition, must be flexible, willing to perform other duties and work irregular hours.
SKILLS: Working knowledge of English, both written and spoken, able to communicate effectively both verbally and in writing. Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for colleagues. Must be capable of working both individually and as part of a team. Must also be able to create a supportive working relationship among all project teams.
LANGUAGES: Language proficiency in spoken and written Dari, Pashto and English.
GENERAL: Conflict management ability, tactfulness, a good sense of humor, being self-disciplined, and being value driven.
