Job Summary:


The purpose of this position is to manage the financial affairs of NSP Sorubi office including financial record keeping, documentation, analysis and monthly reporting to NSP Kabul Office.

Reportable to District Facilitator or NSP Kabul Office Team Coordinator having a functional link with country office finance department.

Duties & Responsibilities:

•Update and balance the cash and bank book daily basis. Count and match the cash with the ledger balance at the end of the business hour.
•Ensure that proper verification of all vouchers is done
•Entering daily financial transactions into accounting system
•Support district facilitator in all the financial issues of Actionaid Afghanistan NSP Surobi Office.
•Monitor expenditures, review the budget if required
•Maintain financial records and monitoring systems to record and reconcile expenditures, balances payments, statements and other day-to-day transaction and reports.
• Select and enters data from a wide variety of documents, verifying accuracy by checking source, making necessary calculation and assuring inclusion of all relevant data
•Prepare monthly financial report and send to the NSP Kabul Office by 4th of the subsequent month.
•Sending monthly fund request to NSP Kabul office on time and ensure available fund in Surobi account.
•Preparation of Monthly salary payroll along with attendance report by 20th send it to NSP Kabul Office for authorization and payment of salary by 25th of the month
•Assist the management in selection of goods and services for procurement.
•Orientation of AAA as well as donor financial guidelines to the non finance staff before inception of any project.
•Play a major role to maintain the compliance of payment and standard of documentation as per the requirement of donor.
•Provide any information timely, as and when required basis by the line manager as well as country office finance department.
•Any other task as required by line manager

Administrative responsibilities:

•Prepare the update inventory list on monthly basis
•Maintain and keep update store records and ensure all equipments are working properly and in good condition.
•Maintain vehicle trip sheet (log book) and check vehicle urgent requirements and scheduling repairs
•Dispatch driver on official task and record time out and time in
•Assisting in preparing of the staff leave sheet and record staff leave and report to NSP Kabul Office admin department on monthly basis
•Maintain record of financial administration and logistics documents and filling in an organize manner
•Maintain personal file for staff contracts and other documents
•Ensuring staff members follow proper protocol in the performance of their official functions and support the line Manager
•Ensuring that cooks, guards and other support function staffs perform their duties properly.
•Compiling staff attendance sheet along with monthly attendance report
•Coordinating and arranging meetings of management and staff and when required preparing minutes of the meetings
•Coordinating and making sure that drop and pickup are arranged properly for guests to and from the airport, bus stations, etc.
•Overseeing that the office are properly equipped and cleaned regularly
•Ensuring that cooks, guards and other support function staffs perform their duties properly.
•Any Other duty as assign by line manager

Job Requirement:

•At least high School graduate, Bachelor degree or university degree is preferred.
•Able to work independently and can play a proactive role in the PSU finance and office management.
•Three years or more working experience in the finance department with any national or international organization.
•Ability to work in specially spread sheet program.
•Knowledge of accounting software would be appreciated but not mandatory
•Fluency in Dari, Pashto and English languages
•Ability to work under pressure
•Good administration skills
•A positive attitude to working alongside women
•Willingness to travel if organization required
