Job Summary:

Finance and Accounting

Duties & Responsibilities:

A. General Accounting
1. To ensure proper book keeping of all financial transaction taking place during the financial year in to principal books of accounts and subsidiary books of accounts.
2. To ensure the proper updating principal books of accounts and subsidiary books and record.
3. To approve all Cash/Bank Receipt/Payment and Journal Vouchers in compliance with the financial policies and rules of the GG.
4. To ensure the proper implementation of the rules and regulations and policies designed specifically for the receipts, payments and subsequent book keeping of the financial transactions in required principal / subsidiary books of accounts.
5. To ensure the monthly preparation and accuracy of the Profit and Loss Account, Balance Sheet and other required reports by the Accounts Section.
6. To ensure the Arithmetic and Logical accuracy of every case.
7. To ensure the timely processing of bills to Director GG for further approval.
8. To ensure the timely processing of TA/DA Bills for Final Approval of Director GG.
9. To ensure the timely processing of Medical Claim submitted by different staff members.
10. To ensure the timely processing of Monthly Pay bill of Main Office and field offices.

B. Management of Store
1. To ensure that store items purchased are in accordance with the budgetary limitations and on specific demand of different departments.
2. To ensure the proper documentation and approval of the documents used for the purchase of store items.
3. To ensure the proper record keeping of the store movements during certain financial year.
4. To ensure the proper updating of all store records.
5. To ensure that all store items are properly utilized in accordance with the board rules and regulation set out for the proper utilization of the store items.
6. To ensure that items lying with the store are in safe custody.
7. To ensure that the items issued to different departments are being used properly.

C. Management of Fixed Assets
1. To ensure that Fixed Assets purchased are in accordance with the budgetary limitations and on specific demand of different departments.
2. To ensure the proper documentation and approval of the documents used for the purchase of Fixed Assets.
3. To ensure the proper record keeping of the Fixed Assets movement during certain financial year.
4. To ensure the proper updating of all books and record maintained for the proper record keeping of the fixed assets.
5. To ensure that all fixed assets are properly utilized in accordance with the board rules and regulation set out for the proper utilization of the fixed assts.
6. To ensure that fixed assets lying with the store are in safe custody.
7. To ensure that the fixed assets issued to different departments are being used properly.

D. Management of Banks
1. To prepare for the opening of new bank accounts for with different banks.
2. To ensure that all bank accounts are being maintained properly.
3. To sign all cheques as signatory of the GG.
4. To ensure that all fund receipts in to be properly deposited in to the bank account.
5. To ensure that all payments through bank has been made properly.
6. To ensure that reconciliation of the bank account maintained in the General Ledger has been made with the bank account on monthly basis.
7. To ensure that the bank profit has been properly credited in to the bank account by the bank.
8. To ensure that all bank charges/commission has been properly debited by the bank to the bank account.
9. To check and enquire about any unauthorized receipt/payment from the bank accounts.
10. To ensure that the balance shown by the bank statement is in agreement with the bank accounts maintained in the General Ledger.

E. Management of Cash
1. To ensure that Cash Book is being maintained properly.
2. To ensure that all cash receipts are properly accounted for in to the cashbook.
3. To ensure that all cash payments has been made properly.
4. To ensure that reconciliation of the cash account maintained in the General Ledger has been made with the cashbook on monthly basis.
5. To ensure that the cashier has made timely cash count and difference arrived has been properly disclosed to the management and the difference has been properly adjusted in to the books.
6. To check and enquire about any unauthorized receipt/payment from the cashbook.
7. To ensure that the balance shown by the cashbook is in agreement with the cash account maintained in the General Ledger.

F. Management of Filling System
1. To ensure that all vouchers and other documents has been properly filled in to the required files.
2. To ensure that filling system has been maintained properly.


G. Interaction and Coordination with Internal and External Authorities
1. To conduct internal/external audits.
2. To deal with the internal/external auditors and consultants appointed by the board.
3. To reply the points rose by the internal/external auditors and consultants during their routine checking and evaluation/assessment.

H. Special jobs and assignments
1. To do any other job/assignments assign by the Director GG.

Job Requirement:

M.Com, MBA, CA Inter, ACCA or Equivalent.

Knowledge of Quick Book Accounting Software will be preferred.
