PROGRAM DESCRIPTION The USAID Office of Transition Initiative (OTI) funded Community Cohesion Initiative (CCI) is one of three principal stabilization programs in the USAID/Afghanistan Stabilization Unit. Through CCI, USAID OTI seeks to improve stability in areas vulnerable to insurgent exploitation in order to create an enabling environment for sustainable peace and traditional development programs by (1) strengthening ties between and among local actors, customary governance structures, and the Government of the Islamic Republic of Afghanistan (GIRoA) and (2) empowering community-based resiliencies to mitigate sources of instability.

Job Summary:

Write or edit various correspondence (to CSOs), meeting agendas, meeting notes, follow-up questions for attendees, contact lists, and other documents as needed or requested
Assure copying and distribution of meeting notes and other follow-up documents or communications to team as requested by NGM or GC;
Arrange and maintain a filing system for the project to keep all records and documentation (soft and hard copies) which is easily accessible to members of program team
Update the grant control sheets for awarded applications on regular basis;
Assist with arranging and coordinating meetings of the ASGP Selection Committee, including planning, logistics, agenda and note taking to ensure the timeliness of the grant approval process
Regularly monitor ASGP grants proposals inbox and forward emails to appropriate staff, applicable RPM, NAM, DCOP_P or other
Assist the ASGP program staff in organizing events such as conferences, workshops, partners’ meeting etc. as required;
Provide logistic support, maintain stationary and other necessary supplies, and prepare equipments and other purchase requests as required
Deliver delivery of documents, hard and soft, and follow-up on deliveries to USG/Grantees/ASGP program staff and selection committees as required
Retain and file copies of delivery documents

Duties & Responsibilities:



• Arrange and maintain a filing system for the program department to maintain all records and documentation (soft and hard copies) which gives easy access for the DCOP and Program Team. Documents and records include but are not limited to program quarterly and annual reports, all other USAID deliverables, department job descriptions, correspondence, applicant CVs, meeting minutes and interview records.
• Receive incoming mail and give appropriate responses (write and send mail) to partners, donors etc as required. Ask for support from the DCOP-P as needed.
• Receive and file weekly and monthly program plans and receive and consolidate weekly and monthly program reports and submit to DCOP_P.
• Take minutes during meetings, type, distribute and store the minutes properly after meetings.
• Produce copies of reports, documents, books and other materials, and distribute them as required.
• Provide logistics support for the DCOP-P and Program Senior Management Team (PSMT) as required applying ASGP guideline, policies and procedures accordingly.

Job Requirement:

• Bachelor’s degree preferred
• Demonstrated experience with providing administrative assistance to grants programs funded by USAID or other international donor-funded projects contracts, grants or cooperative agreements
• Excellent oral and written English and communication skills
• Strong organizational skills
• Dari and Pashto preferred
