EDC, Multi Location
Under the direct supervision of Acquisitions Manager, the Grants Assistant will be responsible for ensuring clear and effective communication, filing, receiving grants guests and customers and directing them to the Acquisitions Manager.
• Monitor the collection of grantee applications, making sure they are recorded by date and time of delivery to EDC compound, and date and time stamped.
• Preparing copies of grantee applications and disseminate one copy to each member of committee member.
• Assisting in preparation of pre-evaluation documents of applicants (NGOs and Companies) according to APS, RFA and RFP requirements.
• Assisting in conducting reference check of grantees.
• Maintain, prepare and update Acquisitions Department filing system and compare with check list to identify the missing documents.
• Collect NGOs, Grantees, Contractor, and Companies names and contact information on a roster to begin a NGO data base and maintain/update it regularly.
• Assist with development maintenance of NGO data base sorted by programmatic focus, locale, and region and contact information.
• Collect grantees report and file them accordingly.
• Track grantees reporting, budget and taking care of reminders to grantees and contractors.
• Maintain calendar of grants related meetings.
• Taking care of Acquisitions Department communication (e-mail, telephone and etc…) and appointments.
• Keep record of Acquisitions Department incoming and outgoing mails, correspondence.
• Take care of Acquisitions department scans, copies and printing.
• Must be able to browse for NGOs and Companies contact information finding on internet websites.
• Maintain Acquisitions Department stationery.
• Attending grants meeting and drafting meeting minutes if necessary.
• As required, provide English to Dari and Dari to English translation services.
• Any other tasks assigned by the Acquisitions Manager.
At least high school graduate. College education is preferable.
Minimum of 2 years experience in an equivalent position with International organizations. Work experience in USAID funded project is a plus.
Level III Language proficiency in spoken and written English Dari, Pashto.
Tactfulness, Enthusiasm to the job. Good Human Relation skills, integrity and ability to work under pressure.
SKILLS: Working knowledge of English, both written and spoken.
Must be able to prioritize tasks and able to meet the deadlines.
Able to communicate fluently effectively both verbally and in writing.
Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for colleagues.
Must be capable of working both individually and as part of a team.
Must also be able to create a supportive working relationship among all project teams.
Must be fully familiar with internet searching and browsing.
