•Support the Chief of Party (COP) with administrative
functions. This will include but not limited to: taking
minutes of meetings, arranging appointments, receiving the
guests, preparing for presentations, arranging meetings,
taking meeting minutes, prepare regular meeting schedules,
drafting letters, prepare monthly activity calendar.
Duties And Responsibilities:
•Assist in provide services related to the
recruitment of staff.
•Assist in creating and maintaining accurate
personnel files on all employees.
•Conduct exit interviews when staff depart from
positions, record findings and close personnel files.
•Set up and maintain a system to track vacation,
sick, and holiday leave. Provide the CAWSA Accounting Unit
with information on employee leave balances on a monthly
basis.
•Develop an orientation program for all new staff to
review ICMA benefits, allowances, and policies.
•Prepare contract letters for the new employees
•Ensure maintenance of a categorical file system for
unsolicited applications for use in future recruitment
efforts.
•Develop and maintain record systems in various
sections of Operations.
•Ensure that all correspondence is correctly logged,
routed and delivered in an efficient and timely manner,
ensuring that communications on personnel matters is
appropriately secured
•Ensure that all the ICMA/CAWSA purchased equipments
are entered on the Inventory list and the list is updated
on regular basis.
•Support the Chief of Party (COP) with administrative

•Take and transcribe dictation, type and maintain
office records, answer telephone and reply to questions in
accordance with general instructions.
•Maintain up to date contact lists of partners, NGOs,
stockholders.
•Draft correspondence and miscellaneous documents, as
required.
•Reviews, proofread, and edits document prepared for
the COP signature Maintain a disciplined, clean and
professional office environment.
•Any other tasks as/when required by the CoP/ DCoP or
Operation Director.
Qualifications required:
1.Post secondary education certificate; higher
education/certificate in Administration or similar field
of study preferred;
2.Demonstrated ability to gain the trust and
confidence of colleagues and to handle confidential
matters discreetly; experience in conflict resolution
helpful.
3.Document management skills.
4.Excellent oral and written communication skills in English
and local languages Pashto /Dari
5.Good computer skills, including competency in word
processing, internet/e-mail.
6.Ability to work in a demanding environment where
performance expectations are high.
