The HR & Admin Officer is responsible for maintaining day to day HR & administrative and personnel services in order to meet the employer's business objectives by coordinating the task between site and main office which he shall be able to advise and implement policies & procedure, develop and retain the right staff needed to meet these objectives.
Develop job descriptions, specifications, preparing job advertisement, check & review applicants CVs and maintain transparent recruitment practices.
Provide guidance to managers in developing and enhancing TOR for positions.
Facilitate the G-Tech recruitment/hiring process, to ensure that new hires are fully capable of meeting the requirements of their positions in accordance with hiring guidelines.
Plan and conduct new employee orientation to foster positive attitude toward organizational objectives.
Provide current and prospective employees with information about policies, job duties, working conditions, wages, and opportunities for promotion and employee benefits.
Perform staffing duties, including dealing with understaffing, refereeing disputes, firing employees, and administering disciplinary procedures.
Mitigating and resolving human resource conflicts and issues, and seek assistance and guidance HR main office as needed.
Develop HR planning & strategies with line managers which consider immediate and long-term staff requirements
Develop and maintain personnel files for all staff, to include updating contact information and maintaining the privacy of each file.
Contribute toward the development of a Human Resource Policy and Procedure manual for Global Technology in compliance with local labour law.
Establish calendar and process for completing quarterly and annual employee performance evaluations.
Provide training for supervisors charged with conducting evaluations of staff members in their units, and monitoring compliance with the process.
Establish and maintain a database of all employee contracts with contract start dates, expiration dates and information on starting salary and increases, using standards templates.
Provides & administer payroll and maintaining employee records; payroll information by collecting time and attendance records.
Administrative job requirements:
Provides secretarial support by entering, formatting, and printing information; organizing work; answering the telephone; relaying messages; maintaining equipment and supplies. Closely with departments, increasingly in a consultancy role, assisting line managers to understand and implement policies and procedures.
Arranging staff work schedule with the coordination related staff and the line manager on holidays
Responsible for staff attendance control, responsible for leave records and attendance reports.
Coordinating with the site staff for creating bank account
Attend the interviews as panel & focal point, coordinate all hiring with the main office HR department.
Responsible & facilitate all staff clearness and exit process
Take minutes of the meeting.
Provide monthly and quarterly HR and Administration progress activities reports to the line manager
University degree in Human Resources or related administrative field.
Minimum of 3- years’ professional experience in the Human Resource and Administration field.
Experience working in a similar position for an NGO or an international organization is preferred. Must be able to work effectively in a fast-paced, stressful environment. In addition, must be flexible, willing to perform other duties as required and work irregular hours.
