Job Summary

Job Purpose and Role
Reports to HR Coordinator, the HR Officer is responsible of all HR basic functions of Human Resource unit and assist HR Coordinator and Deputy Director HR on HR daily tasks.

Duties & Responsibilities

Specific Duties and Responsibilities


Maintain employee personal files and ensure the file has all relevant documents.

Maintain and update employees required information in pre-established database.

Daily maintain of staff attendance sheet and ensure staff are properly and timely sign the attendance sheet.

To ensure all Consultants are paid timely as per term and condition of the contract.

Take HR unit meeting minutes and follow up with action plan.

To ensure that all announcements are uploaded to concern websites, email to provinces and internal announcement.

Download the applications and submitted to HR Coordinator

To ensure all short listed candidates are called for written test and interview and arrangements done on timely manner

Participate in interview when it is needed.

Assist HR Coordinator in checking of references of the selected candidates.

Assist HR Coordinator in preparing staff/consultants contract.

Preparing relevant documents as per check list for newly hired staff in Head Office.

Assist HR Coordinator for preparation of induction plan for the new recruited staff at Head Office level.

Send medical insurance related information of existed and new staff to finance on quarterly basis.

Follow up of staff medical claims, represent HR to the medical claims review committee, ensure the medical claims are paid on monthly basis and keep record of medical claims in the system.

Preparing annual public holidays and leave planner sheet and circulate to all staff in the month of December for the coming year.

Enter Head Office leaves in the system, follow up with provinces relevant staff and ensure accurate leave report send to finance on monthly basis. Send quarterly leave report to individual staff at Head Office level.

Collecting, sorting and preparing report of all staff Annual Performance Planning and Appraisal

Participating in any HR related meeting in the absence of HR Coordinator

Assist Liaison Assistant regarding staff visa, work permit and Tax Identification Number process

Maintain training record at the organisation leave and prepare report on quarterly basis.

Any other relevant duty given by Line Manager

Job Requirements

PERSON SPECIFICATION

Education/ Training
Bachelor’s degree in Business Administration or other related discipline. Having experience in HR management.

Work Experience
At least 2 years of professional experience in Human Resource Management, having experience in INGOs is preferred.
