Job Summary
The Publications Officer assists in ensuring successful implementation, delivery, and management of Afghanistan Affairs Journal (AAJ) print and electronic journals, books, and other products. The Publications Officer plays a key role in working with the editorial board and executive director to provide tactical management of products and resources.
Duties & Responsibilities
Assist with production of new print and electronic publications, ensuring that products are produced on schedule, on budget, and of high quality. These duties include:
Communicating with external managing editor to support project progress. Assist as needed with queries, file management, and project management.
Supporting admin manger in obtaining bids from print and electronic format vendors.
Working with app and e-book developers to convert files to desired formats.
Occasional light editing and formatting copy.
Support development of new and renewed products, including print publications and electronic resources. Collaborate with other teams to identify and implement opportunities for new product development.
Support marketing efforts to expand reach of publications and other resources, and develop new initiatives to increase revenue and impact of Afghanistan Affairs Journal.
Coordinate book review program for editorial volunteers of both journals as well as Publications Review Committee.
Work with executive director, volunteer journal editors, and volunteer publication editors to help create a strong brand identity and set the highest possible editorial standard for content.
Coordinate inventory management of print publications.
Proofread promotional materials and other materials as needed. Coordinate blog posts and other communication strategies.
Maintain AAJ style guide.
Assist in preparing for AJJ annual conference (packing boxes for freight, running sales reports, and other tasks as needed).
Support permissions granting process and tracking.
Perform other duties and special projects as assigned.
Journal-Specific Functions
Coordinate communication between national office and external peer review office to ensure smooth processes for journals.
Support growth of the journals website, working in collaboration with internal and external stakeholders.
Provide planning support for scheduling editorial calls and meetings throughout the year.
Working with the external peer review office, request data and draft reports for AAJ’s Board of Directors, journal editorial boards, and other AJJ leadership teams.
Manage Clinical Nutrition Week abstract submission to journal and other special manuscript submissions and print file preparation process in coordination with external peer review office.
Coordinate materials and manuscript tracking system reports for periodic editorial conference calls and other meetings as needed.
Perform other duties and special projects as assigned.
Administration and Reports
Draft meeting notes and other reports as needed.
Pull detailed data for reports on milestones, deadlines, and progress; assist with synthesizing and comparing data as needed.
Participate in editorial conference calls and calls with vendors relating to editorial projects.
Serve as the publications department’s liaison to the AAJ customer service team, which may require answering phone calls and responding to emails from customers on a daily basis.
Job Requirements
BA in English Literature or other relevant field.
At least one 3 years of publishing experience, preferably in STM publishing.
Familiarity with AMA style.
Experience working with web-based technology and management information systems.
Excellent communication and comprehension skills, both written and oral, including professional and tactful demeanor in dealing with authors and editors.
Experience in copyediting and proofreading (thorough knowledge of English grammar and technical, scientific, and medical writing styles).
Superb organizational skills and attention to detail.
Quick learner who can become fully proficient in Scholar One Manuscripts (SAGE Track) and COGNOS reporting.
Ability to handle multiple projects, determine priorities, and meet deadlines.
Ability to travel to AAJ’s annual conference.
Both team-oriented and independent work abilities.
Proficiency in Microsoft suite including Word and Excel.
