Under the general guidance of the sectionâ€™s Program Manager and the immediate supervision of the concerned Project Manager, the incumbent undertakes the following duties in close conjunction with the Administration Section:

â€¢ Organize both incoming and outgoing correspondence, including the establishment of a log/registry system and filing; manage correspondence for priority action, notification of deadlines and action on routine matters; arrange and maintain a calendar of appointments and prepare travel plans for missions.
â€¢ Maintain an inventory of programme equipment, including that handed over to counterparts through the project.
â€¢ Assist the team with human resource management such as the recruitment of and administration of staff, and assisting with the preparation of related work plans.
â€¢ Maintenance of the filing system for the project.
â€¢ Organize meetings, seminars, workshops and conferences, including securing and arranging meeting venues, arranging participantsâ€™ travel, and other administrative arrangements, some involving high-ranking officials and take minutes and/or notes at meetings.
â€¢ Serve as administrative assistant at training courses, seminars and workshops.
â€¢ Assist in drafting and finalizing correspondence; timely preparation of relevant papers and documents for meetings, seminars, workshops and conferences; and finalize related reports, involving communication with UNODC provincial offices and governmental counterparts.
â€¢ Work together with provincial offices to undertake administrative action related to leave application, travel, payments and other administrative issues.
â€¢ Make travel arrangements for the Project staff and other units, UN agencies, ministries, non-governmental organizations and constituents.
â€¢ Assist the provincial and central procurement section in Kabul to undertake administrative action related to the procurement of equipment and services including preparation of purchase orders, contracts for consultants, related payment requests, and monitoring and follow-up on such requests.
â€¢ Carry out any other tasks as assigned by the Representative and/or Project Manager of UNODC Country Office for Afghanistan.
Professionalism: Knowledge and understanding of concepts and approaches relevant to project management with particular relation to the UNODC Country Office for Afghanistanâ€™s mandate and programmes. Good research, analytical and problem-solving skills, including the ability to identify and participate in the resolution of issues/problems; ability to apply good judgment in the context of assignments given. Takes responsibility for incorporating project objectives, ensuring the participation of project team members/supervisors and other support structures in all areas of work; fully proficient computer skills and use of relevant software and other applications, e.g. word processing, graphic software, spreadsheets, database applications, internet, etc; ability to analyse project requirements and assist in drafting memos and reports in support of existing projects or for developing new ones.

Creativity: Ability to actively seek to improve programmes/services, offer new and different options to solve problems/meet client needs.
Communication: Excellent and effective communication (verbal and written) skills, including ability to assist in preparing reports and conduct presentations with the use of common software applications by clearly formulating positions on issues, articulating options concisely conveying maximum necessary information, making and defending recommendations; diplomacy and tact; ability to convey difficult issues and positions to senior officials.
Teamwork: Excellent interpersonal skills; ability to establish and maintain effective working relations with people in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity.
High school graduate, Certificate/Diploma in Business Administration, Social Sciences, Economics, or other related discipline. Bachelor degree in a related field is desirable, but it is not a requirement.
At least 3 years of work experience in project management, administration, or related fields; or a Bachelorâ€™s degree in a related field with at least 1 years of relevant experience would also compensate.
Excellent command of written and spoken English, Pashto and Dari.
