The Office Manager will ensure smooth running of the office through oversight of all day-to-day operations in compliance with DAI policy and procedures.
Duties & Responsibilities:
The Office Manager will perform the following functions but not limited to:
â€¢ Supervise administration, logistics, travel and inventory management functions
â€¢ Oversee facilities; complete facility reports
â€¢ Liaise with Afghan government officials, as needed
â€¢ Organize and process all official DAI correspondence and other documents, including incoming, outgoing and interoffice mail and faxes related to logistics, and administrative management
â€¢ Manage all administration needs including translation, production of project publications, data entry into the DAI library, filing, record-keeping and other administrative and clerical tasks
â€¢ Manage all project files and records and ensure that data is adequately stored and backed up
â€¢ Oversee logistics for project events and for project travel
â€¢ Ensure all office logistics needs are met.
â€¢ Coordinate and supervise operational needs for SouthEast Regional and District Offices
â€¢ Monitor operations procurement for SouthEast District Offices
â€¢ Monitor operational finance documentation SouthEast Regional and District Offices for submission to Finance Team
â€¢ Supervise operations requests for SouthEast Regional and District Offices in TAMIS and monitor complete delivery of goods and services requested
â€¢ Oversee the management of project guesthouses, ensuring that facilities are well maintained and stocked, that guesthouse logs and accounts are accurately maintained, that quality of food and service are adequate and that reservations for short-term staff are carried out effectively
â€¢ Maintain relationships with guesthouse and office landlords and facilitate resolution of any issues
â€¢ Work with international and national staff members and help/respond to requests
â€¢ Carry out other duties and responsibilities as directed by the Deputy Operations Manager
â€¢ University degree in related field (Administration). Relevant experience and another university degree may substitute for the degrees mentioned.
â€¢ Minimum of 3 years experience in an equivalent position. Experience working in a similar position for an NGO or an international organization is preferred. USAID funded project experience is a clear plus. Must have willingness to travel to DAI Afghanistan field offices on DAI business. Must also have the ability to work effectively in a fast-paced, stressful environment. In addition, must be flexible, willing to perform other duties and work irregular hours.
