Job Summary:
Artlords is seeking a Office Manager and the overall responsibilities will be;
The Office Manager will be responsible for the overall management of the Artlords activities and staff and will report to leadership of Artlords as well he or she will be responsible to report to all clients according to their policies.
Office Manager will make sure that the office runs smoothly, which includes keeping supplies in stock, making sure administrative and office staff are doing their job, working with vendors, planning events, making sure the facilities are clean, orderly, and safe, and analyzing supply and energy consumption to determine cost-saving and efficiency savings.
Duties & Responsibilities:
Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.
Completes operational requirements by scheduling and assigning employees; following up on work results.
Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
Maintains office staff by orienting, and training employees.
Maintains office staff job results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results.
Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
Achieves financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.
Contributes to team effort by accomplishing related results as needed.
Collecting updated project activities reports from concerned staff on weekly, bi-weekly and monthly basis.
Preparing and sending of weekly, bi-weekly, monthly and final narrative reports.
Arrangement of Weekly, Bi-Weekly and Monthly Meetings or sometimes immediate meetings (if required) and assuring the presence of all staff during the meeting for discussing the ongoing activities and finding solutions to the problems during the project implementation period with consultation from immediate supervisors and/or clients.
Preparation of project activities reports and giving presentations to the staff in meetings and/or to the concerned visiting party.
Checking of the activities reports of the sub-ordinates during the project and providing of correction/assistance if required; and preparing of consolidated reports from it and sending to concerned supervisor or clients agencies or upon any authentic request.
