The Procurement Assistant will provide overall support to the Regional Office Manager and Procurement Manager for routine daily purchases in accordance with, and in compliance with DAI procurement policy and procedures, maintaining updated filing systems and vendor databases, coordination of deliveries, maintaining and providing accurate information for accounts payable and assisting with inventory of all assets/belongings.
Duties & Responsibilities:
The Procurement Assistant will perform the following functions but not limited to:
â€¢ Monitoring, tracking and expediting all ASI procurement activities and delivery status of goods/services.
â€¢ Identifying potential local vendors and suppliers
â€¢ Performing daily routine purchases for Regional Office
â€¢ Generate and submit for approval solicitation of bids and quotes from potential vendors in adherence with program policies.
â€¢ Communications related to processing and status of payments to suppliers.
â€¢ Logging of requests in TAMIS on line system, coordinating and expediting local purchases.
â€¢ Maintaining updates to requestors.
â€¢ Providing effective order tracking.
â€¢ Assisting to Regional Office Manager with maintenance of ASI Government Property Inventory database.
â€¢ Coordination of goods transport.
â€¢ Collaboration closely with the Procurement Team as required.
â€¢ Maintaining procurement filing system.
â€¢ Coordinating with vendor payment processing as needed.
â€¢ Carry out other duties and responsibilities as directed by the Procurement Manager
â€¢ Secondary school degree required.
â€¢ Minimum of 3 years experience in an equivalent position. Experience working in a similar position for an NGO or an international organization is preferred. USAID funded project experience is a clear plus. Must have willingness to travel to DAI Afghanistan field offices on DAI business. Must also have the ability to work effectively in a fast-paced, stressful environment. In addition, must be flexible, willing to perform other duties and work irregular hours.
