Assist the Procurement Associate (Works) with maintaining archives with respect to World Bank and UNOPS Procurement, and financial rules and regulations
Assist the Procurement Associate (Works) in the preparation of submissions.
Draft correspondence related to procurement matters.
Actively work with clients to exchange information on a variety of procurement process and transaction issues to deliver correct and timely services.
Assist the Procurement Associate (Works) with maintaining up to date Manuals and Policy documents relating to Procurement matters.
Assist the Procurement Associate (Works) in maintaining an accurate and complete filing system for all procurement activities, to ensure transparency and accountability.
Assist the Procurement Associate (Works) with the effective and efficient archiving of all completed Procurement Documents.
Distribute/collect letters to the interested companies/Bidders (clarification letters, clarifications received, documents, etc) under Procurement Associate (Works) guidance.
Keep the evidence of the received documents for Procurement Section within a reliable and quick tracking filling system.
Assist the Procurement Associate (Works) in arranging some meetings: book the meeting room, prepare the room, escort the companies representatives;
Demonstrate behavior of professional and personal ethics, transparency and openness, to gain respect and similar behaviors of colleagues in the workplace.
Perform any other related duties as directed by the Procurement Associate (Works).
Perform additional tasks as required by the supervisor.
Purchase orders, requisition forms, contracts and tenders should all be prepared as per required procedures and requirements.
An effective soft index of archive with complete file description contents and its locations should always be up-to-date and well maintained for verification of the procurement Officer

Education
Required secondary education, high school education is an asset.
Work Experience
At least 2 - 3 years of relevant working experience.
Proven clerical background
Good knowledge of UN/UNDP/UNOPS rules and regulations
A sound working knowledge of English, both written and verbal. Fluent, both written and verbally, in Dari/Pashto.
A working knowledge of MS Office application (Word, Excel), email and able to navigate internet.
Knowledge of UN and World Bank rules and regulations would be a distinct advantage.
