Job Summary

The incumbent of the position shall be responsible for performing functions, encompassing various aspects of procurement including office administrative support, transportation and assisting procurement department in its day to day activities.

Essential Duties and Responsibilities

The Procurement Officer will be responsible for a wide range of local procurement duties related to the needs of AISA, including capital equipment purchases, procurement of works, services and contract management.


Duties & Responsibilities

1. Planning AISA’s procurement activities under the direction of the Procurement and Contract Manager.
2. Assists Procurement Manager/Deputy Procurement Manager in procurement of works and consultant services.
3. Sourcing and gathering bids/proposals/quotations for AISA’s related procurement requirements from verified vendors/contractors or consultants.
4. As a committee member performs the evaluation of bids, proposals and quotations for different procurement methods.
5. Being responsible for routine purchasing of AISA’s required goods.
6. Manage delivery/shipping/logistics of all orders on time.
7.Support the establishment and maintaining of a uniform administrative support system amongst department administrations.
8. Properly documenting all operations related to procurement transactions.
9. Maintaining professional communication with all suppliers. Following up on the timely delivery of all requested goods.
10. In coordination with the team, initiating the payment procedure by submitting all necessary documents to the Finance Unit. This includes the Operating Cash Request, Invoice, Waybill, and Purchase Order. The delivery of materials and the accuracy of the invoice must be verified by Admin and Procurement Officer.
11. Coordinating with AISA’s regional offices regarding high value purchases.

Job Requirements

• University Degree in, Business Administration, Economics, Public Administration and Commerce.
• Must have spoken and written knowledge of English as well as local languages (Dari and Pashto) languages.
• Proficiency in office management and office administrative update system.
• Sufficient knowledge to Microsoft Word and Excel.
• Must have well developed interpersonal and communication skills.
• Must be a person of proven honesty and integrity with no criminal record, result oriented and proactive.
