The ASGP Program Administrative Coordinator (PAC) provides a variety of program administrative and support functions. S/he reports to the DCOP-P and provides support to the DCOP-P and the program department. S/he works with the Program General Manager (PGM) to ensure program documents and reports are prepared and submitted to USAID as required. S/he maintains hard and soft files of all program reports and USAID deliverables as well as department records and files including updated job descriptions for all Program Department staff. S/he supports the HR Administrator in obtaining and updating all pertinent HR forms and records for the Program Department staff and in developing and placing vacancy notices for PD positions. Under the guidance of the DCOP and the External Relations Manager (ERM) s/he provides information to the public, stakeholders and others as needed. In addition, the PAC is responsible for working with the Capacity Development Advisor (CDA) and other program department staff to plan and conduct meetings and workshops.
• Arrange and maintain a filing system for the program department to maintain all records and documentation (soft and hard copies) which gives easy access for the DCOP and Program Team. Documents and records include but are not limited to program quarterly and annual reports, all other USAID deliverables, department job descriptions, correspondence, applicant CVs, meeting minutes and interview records.
• Receive and file weekly and monthly program plans and receive and consolidate weekly and monthly program reports and submit to DCOP_P.
• Provide logistics support for the DCOP-P and Program Senior Management Team (PSMT) as required applying ASGP guideline, policies and procedures accordingly.
• Assist the ASGP team in organizing events such as conferences, workshops, partners’ meeting etc. as required.
• Provides general administrative support to General Manager –Programs, National Advocacy Manager, Capacity Development Advisor, and Senior Gender Advisor.
• Has an Bachelor’s degree in a relevant discipline
• Experience in International organizations
• Is experienced in using Microsoft Office, Access Database, internet and email access software
• Able to build and maintain simple databases
• Able to build and maintain hard and soft files
• Knows how to conduct job /task analysis and write job descriptions and terms of reference
• Is able to assist program staff commission and convene training events
