Job Summary

To contribute to improved program quality across all AKF Bamyan/Parwan program sectors through:
• Supporting coordination between AKF program sectors, AKDN, partners, government and donors.
• Ensuring that programs are implemented in accordance with donor policies and procedures.
• Working with all program sectors to collect, consolidate, and disseminate information for donor proposals and reports, government agencies, meetings, the media, AKDN agencies, and within AKF.
• To support other members of the Program Quality Unit, including the Program Quality Manager, ERLU (Evaluation, Research, and Learning Unit) staff, Gender Advisor, and Program Integration staff.

Duties & Responsibilities

Support coordination between AKF program sectors, AKDN, partners, government and donors.
• Maintain a schedule of all relevant internal program meetings, government meetings, inter-agency meetings, sector working groups, etc., and provide information to the relevant AKF staff persons to attend the meeting.
• Organize monthly program manager meetings and record meeting minutes for dissemination.
• Organize and/or attend meetings and record and disseminate minutes upon request.
• Maintain and update contact lists.
• Update security information externally and internally in coordination with administration as needed.

Ensure that all programs are implemented in accordance with donor policies and procedures.
• Assist program managers in developing yearly plans of operations (YPOs) and budgets that correspond to donor requirements.
• Collect monthly reports from program managers; reconcile activities with the activities in the YPO and the budget; and identify and document variances.

Work with program sectors to collect, consolidate, and disseminate information for internal and external use.
• Collect monthly reports from program managers and analyze and consolidate information into a single report for dissemination to the Program Quality Manager, the Rural Development Manager, and the Regional Program Manager.
• Prepare monthly or quarterly reports for local government officials as needed and respond to requests for information.
• Support the NSP MIS officer in preparing monthly reports.
• Support proposal and donor report writing, regularly update grant information and maintain a list of all donor reporting deadlines.
• Prepare monthly reports on AKF and/or AKDN programming for dissemination at both internal and external meetings.
• Maintain and update Program Support files on the shared drive.
• Monitor and file all media coverage of AKF Bamyan/Parwan activities, indentify AKF activities or events to be covered by media agencies and coordinate with local and national journalists as needed.

Support members of the Program Quality Unit

• Support the Evaluation, Research and Learning Unit through collaborating with staff to develop learning materials, document case studies and success stories, conduct program evaluations, and disseminate information.
• Through working with program staff on YPO development and monthly reporting, support the Gender Advisor by providing information on gender targets documented in the program monthly reports; identify and document gaps in program implementation; and document gender specific successes and failures in programming.
• Through working with program staff on YPO development and monthly reporting, support the Integration staff through identifying and documenting areas for integration between programs.
• Translate documents and correspondences and act as English/Dari translator during meetings.
• General office duties and filing as needed.

Job Requirements

• Undergraduate degree or 2 years of relevant experience.
• Comfortable working in English and Dari and ability to translate both written and orally.
• Excellent computer skills, specifically Microsoft Word, Excel, and Outlook.
• Good organizational skills.
• Ability to take initiative and to think critically.
• Experience with strategic planning in rural development programming.
• Previous experience in writing donor reports and proposals for funding.
