Under the overall technical guidance of Admin/HR director, and director supervision of Badakhshan Provincial Program Manager (PPM), this position will provide administrative support to all provincial and district offices and maintain provincial office administrative system.
Duties & Responsibilities:
â€¢ To take a leading role in developing and implementing office administrative systems for the Provincial and District offices
â€¢ Ensure that accurate and timely administrative reports are made to Head Office.
â€¢ Ensure that all staff recruitment are done according Afghanaid policy and procedures.
â€¢ Provide administrative support to the Provincial program as required.
â€¢ To manage and support the provincial administrative support staff on a regular basis
â€¢ To ensure communications functions of the provincial office with Kabul and other field offices is maintained continually.
â€¢ To ensure provincial office legal obligations relating to lease agreements and utility bills payment etc are fulfilled in a timely manner.
â€¢ To ensure provide healthy and safe working environment for all provincial office employees.
â€¢ To ensure provincial office premises generators and vehicles are in good working conditions at all times.
â€¢ To ensure the reception function of provincial office meets the highest standard.
â€¢ Participating in all steps of staff recruitment in provincial level
â€¢ Liaise with external agencies regarding meetings and to inform project staff of meeting dates and venues.
â€¢ Maintain the Provincial Officeâ€™s staff attendance and leave register.
â€¢ Maintain the Provincial officeâ€™s purchasing documentation and participate in purchasing committeeâ€™s.
â€¢ Travel to all districts at lest one time each quarter.
â€¢ Monitor all AAD assets and store records each quarter.
â€¢ Follow up the security issues regularly and inform PPM and HO
Bachelorâ€™s degree in related field, having 5 years experience in Administration and Logistics filed, strong inter-personal skills including excellent communications skills, computer literacy including spreadsheets, word processing, PowerPoint, able to run office equipment such as scanner, photocopier, Radio and etc, Personal integrity, hard working, committed to his/her job, good team player, ability to work under stressful conditions, gender sensitive, awareness of personal strengths and weaknesses, fluent in Dari and English.
