Under the direct supervision of the Admin/HR Manager, the incumbent of the position will be responsible for ensuring a clear and effective communication, receiving guests and customers and directing them to the offices and individuals they need, receipt of documents and mails from outside and deliver to administration, receiving and transferring of incoming and outgoing calls.
1. Information system
• Receive, direct and relay telephone messages and fax messages.
• Pick up and deliver the mail.
• Open and date stamp all general correspondence.
• Record and handle all incoming and outgoing couriers.
2. Visitors management
• Welcome visitors and guests and direct appropriately.
• Arranging maintenance visits and logging the duration thereof.
3. Records system
• Maintain the general filing system and file all correspondence.
4. Meetings
• Assist in the planning and preparation of meetings, conferences and conference
telephone calls.
• Make preparations for meetings.
5. Support the Chief Executive Officer and other staff
• Assist the Chief Executive Officer and other staff as requested.
• Provide administrative services for the Executive Director.
Qualification:
• High School, Graduated will be prefer
• Excellent at all aspects of English, Dari and Pashto languages, especially English speaking and listening skills is a must.
• Excellent communication and problem solving skills.
• Customer Service oriented
• Committed to hard work and continual learning.
• Effective verbal and listening.
• Communications skills.
• Computer knowledge is also required.
• Time management skills
