Job Summary:

The primary role of the receptionist is to support in Administrative functions of the organization in coordination with the Administrative head. The following are the main job responsibilities of the position holder.

Duties & Responsibilities:

•Ensure all guests visiting AAA guests are welcomed properly and proper information is given.
•Coordinate and record all outgoing and incoming mails and documents in the organization. Ensure mail / documents reach proper staff members within the organization.
•Provide support in all vehicle movements of the organization in Kabul.
•Maintain attendance record of the staff members of Kabul Office.
•Support in translation works (national languages to English and vice versa) whenever required by the management staff of the organization.
•Typing works when required.
•Correspondence works with companies / organizations when information is required.
•Drafting “Official Letters” to government agencies when required.
•Maintain up to date database of INGOs and NGOs in Afghanistan.
•Coordinate appointments of guest visiting the office and ensure all concerned staff members informed well in advance or reminded.
•Maintain information relating to staff movement during office hours and their field visits in or outside of Kabul.
•Ensure visitors of AAA have proper accommodations and all required basic needs are fulfilled.
•Oversee that office cleanliness is maintained properly.
•Pick up guests of AAA from the airport whenever required.
•Any other responsibilities assign by the line Manager

Required Knowledge, Skills and Experience:

•12th Grade degree
•A minimum of three years experience in related field
•Excellent interpersonal skills, facilitation, communication negotiation and email
•Gender sensitive and responsive

•Excellent computer skills
•Strong English skills (spoken and written) Fluency (spoken and written) in native languages- Dari and Pashto.
•Working knowledge of computer skills; ability to work Excel, Word.
•Excellent interpersonal skills and the ability to work in a team-oriented environment.
•Strong organizational skills, attention to detail, and the ability to work under pressure and meet deadlines.
•Willingness to travel
