Who we are
Afghanistan is one of the poorest countries in the world and is suffering the effects of 22 years of chronic conflict and in the last three years the worst drought in living memory. Millions of Afghans who had little ability to cope with the situation in Afghanistan are still at risk, or in dire poverty. Oxfam GB has been working in Afghanistan since the early 1990s. The focus of the program since inception up to 2001 has been a humanitarian one in the context of chronic conflict. The current changes in Afghanistan require the organization to change its approach towards community work. The Oxfam GB program in Afghanistan is believed to be one of the complex ones; the programs in Dai Kundi currently consist of Integrated Rural Development Program and National Solidarity Program of Government where Oxfamâ€™s role is to only facilitate the program. In Badakhshan Oxfam GB is implementing Strengthening Food Security and Sustainable Livelihoods through Natural Resource Management. It is believed that with the plenty of projects in the country there is the definite need for better logistics operational management and reporting to ensure Oxfam GBâ€™s standards and effective reporting system is in place. In order to enhance internal service delivery as well as donor and organisational accountability, the post holder is expected to contribute towards the formulation and/or implementation of better financial and internal controls, financial management and financial reporting mechanism.
The Job purpose
To manage the reception area; to meet and greet visitors and to manage information inflow and outflow; to arrange meetings and appointments for the Country Director as and when needed
Duties & Responsibilities:
â€¢To receive guests and visitors and direct them to the relevant office / person.
â€¢To direct the Oxfam GB visitors and employees from the field offices who are using laptops to IT Department to scan their computers for viruses prior to connecting to Oxfam GB network in Kabul Office.
â€¢To ensure that incoming / outgoing calls are received and made in a professional manner. To ensure that incoming calls are transferred to the relevant member of staff in Kabul Office.
â€¢To ensure that messages for staff are written down carefully and delivered to them in a timely manner.
â€¢To ensure that the reservation book for meeting room is up to date and managed in an orderly manner.
â€¢To ensure that meetings are arranged / appointments are made internally and externally for the Country Director as and when requested.
â€¢To ensure that an up to date list of intercom extension numbers exists; also to ensure that the communication list for Oxfam GB in Afghanistan is updated and shared with relevant staff on monthly basis or as needed.
â€¢To ensure that the outgoing correspondence register is maintained in an orderly and timely manner where outgoing mails are referenced and registered and dispatched to the right organization / individual outside Oxfam GB.
â€¢To ensure that the incoming correspondence register is maintained in an orderly and timely manner where incoming mails are referenced and registered and delivered to the right person in Oxfam GB Office in Kabul.
â€¢To provide support to staff on scanning / photocopying of office documents as and when requested.
â€¢To ensure that photocopiers and printers in the office are functioning properly and that they are supplied with printing paper in a timely manner. To ensure that malfunctioning printers / photocopiers are reported to IT Co-ordinator and Administration Officer respectively.
â€¢To take responsibility for proper and orderly arrangement of information on the notice boards on a daily basis.
â€¢Other ad hoc activities as delegated by the Administration Officer or Program Services Manager.

â€¢High school (grade 12) graduate
â€¢Minimum 2 years work experience in the similar job
â€¢Good writing, speaking and listening language skills in Dari and English is essential - knowledge of Pashto is an advantage
â€¢Excellent communication and interpersonal skills with an aptitude to bring positive changes
â€¢Well-developed teamwork and team building skills
â€¢Ability to challenge demanding requests and tasks and ability to prioritize own task
â€¢Strong computer literacy, strong proven experience with computerized word-processing packages, proven experience in using Excel Spreadsheets, experience in using Internet based programs
â€¢Commitment to the aims, objectives and organisational culture of Oxfam GB
