Job Summary:

In order to sustain the activities performed under this contract, Tetra Tech AESP will undertake the hiring of local Senior Administration assistant professionals to support day to day operations. The Senior Administrative Assistant is responsible for all the daily work which is assigned to him/ her, and must maintain all administration filing systems hard and soft copies, assist the Chief of Party and Deputy Chief of Party in all administrative tasks, filing project information in accordance with project standards, set priorities and assign daily work to administration assistant, metor and train administration assistant, as a backup for the administration assistant as needed. Working knowledge of Word, Excel, Power Point, and Microsoft Outlook.

Duties & Responsibilities:

 Communicate well, and be able to efficiently schedule the meetings for COP and DCOP.
 Producing accurate documents, reports and presentations for COP and DCOP and other s as deemed necessary.
 Need to set up multi media and projector when required for conferences and training.
 Meeting and greeting visitors and guests at all levels of seniority in an appropriate manner while meeting with COP and DCOP.
 Prioritize administrative assistant daily activates and train them how to keep updating stationery/utilities stock and obtain report from their end.
 To keep organizing/ordering and updating administration related filing system time to time and provide feedback to immediate supervisor any progress and updates.
 Translate the official memos from Dari in to English and English to Dari.
 Support the Chief of Party and COP in filing and other related works when needed.
 Plan, organize and independently carry out workload priorities to ensure smooth and timely coordination and production.
 Obtain accurate information for staff startup and orientation purposes. .
 Ensuring confidentiality inside and outside of the office.
 Provide support to all the staff in administrative related works when staff needed.
 Attend weekly departmental meeting and present administration activities and update other team members.
 Perform any other related tasks assign by the manager/ supervisor and management staff.

Job Requirement:

 High School Diploma or equivalent in related field.
 At least 2 years work experience in relevant field, preferably with USAID, international donor-funded projects or NGOs on relevant programs in Afghanistan.
 Fluency in speaking and writing English, Pashto and Dari.
 Excellent verbal and written communication skills.
 To have computer knowledge specially office package; Word, Excel, Power Point, and Microsoft Outlook.
