Job Summary:


Duties & Responsibilities:


Program, Finance and Security Units – to ensure that appropriate support is consistently extended in a timely manner; Finance – to ensure compliance with all pertinent policies, procedures and guidelines; Security – to ensure compliance with all safety and security protocols; Operations Officers, Drivers, Cook and Cleaner for supervision.


ChildFund Regional and International Offices – for coordinating support such as but not limited to facilitating visas, accommodation, transport and other logistical requirements when visiting Afghanistan, related Ministries and provincial government offices, donors, ACBAR and other international and local NGOs.


The position holder manages all aspects of operations support including IT management. This includes tasks related to assets management; coordinate all procurements, maintain/monitor staff attendance and leave records; IT administration, coordination with concerned government ministries as well as other offices relevant to the job functions, performance management of direct reports, management and provision of support covers the Kabul and all field offices.


•Maintain inventory records for all ChildFund Afghanistan assets and ensure new additions and disposal of the same are in accordance with policies and procedures.
•Ensure that all office equipment, furniture and fixtures in the Kabul Office are in good condition and supervise the discharge of the same responsibility through the Operations Officers at field offices.
•Ensure that all registration requirements for office and vehicles are kept updated.
•Coordinate and manage all official travel requirements using office-owned or rented vehicles in compliance with safety and security guidelines.
•Provide logistical requirements for offices and guesthouse in a timely manner in accordance with set policies and procedures.
•Ensure that software applications and office internet service are properly functioning at all times and that external support is promptly sought when necessary.
•Conduct regular back-up procedures and ensure proper storage based on established arrangements.
•Maintain staff attendance and leave records for all staff at National office supervise the discharge of the same responsibility through the Operations Officers at field offices.
•Ensure that visa and other travel-related requirements and work permits for international staff are secured and kept updated.
•Supervise the Operations staff in Kabul Office ensuring and monitoring performance following established performance management system.
•Liaise with government and non-government offices in connection with the discharge of operations-related tasks.
•Performs other reasonable tasks that may be assigned by Supervisors.

Job Requirement:


•Degree holder in Business Administration or with equivalent experience of at least 5 years
•Good written and spoken English, Dari and/or Pashto
•With driving skills and a valid driver’s license
•Strong supervisory skills
•Working knowledge in IT
•Strong interpersonal skills and ability to work in a team environment
•Ability to work well under unstable security environments, and administrative and programmatic pressures
•Strong ability to train, motivate and mobilize teams
•With knowledge and experience in working with government ministries and other offices
•Willingness to understand and accept ChildFund’s child protection and other policies
