Job Summary

The incumbent of the position should Supervise and Maintain office-required records for office administrative support. Prepare projects proposal and project-required reports in collaboration with the project manager. Prepare projects budget in collaboration with the project manager. Arrange and coordinate Department staff training. Any other tasks assigned by the program unit.

Duties & Responsibilities

Supervise and maintain all office-required records for office administrative support.
• Supervise data management officer in maintaining and record keeping system of office administrative files.
• Support the establishment and maintaining of a uniform administrative support system amongst department administrations.
• Translate/interpret reports received in local languages and to help any expatriate visiting or evaluating ERP projects.
• Inform the project manager of all updates of projects / office whenever he is out of the project base.
• Be update on the affairs of the department and capable for representing the activities and priorities of the department to non-department members.
• Review all program meeting and recommend for improvement.
2. Prepare projects required reports in collaboration with the program manager.
• Supervise data management officer in data processing, maintaining and record keeping and filling system of all ERP projects.
• Assist the program manager in preparation of all the required reports.
• Ensure all the data’s are accurate and collected in a standard formats.
• Ensure all the reports are in donor’s standard formats.
3. Prepare projects proposal in collaboration with the program manager.
• Assist the program manager in preparation of projects proposal.
• Ensure the proposals are completed and are free of writing errors.
• Ensure the proposals are in donor’s standard formats.
4. Prepare projects budget in collaboration with the program manager.
• Collect update unit cost and update staff salary scale and benefit.
• Prepare the projects budgets in SCALA format.
• Ensure the prepared budget is correct and out of error.
• Check and review the monthly EAR report in collaboration with Program manager.
• Negotiate with finance and any concerned office about financial issues and improper charging.
5. Arrange and coordinate Department issues with other CARE departments.
• Ensure the coordination of trainings needed in an appropriate and timely manner between Project staff and Training Section.
• Provide the Department staff with copies of any job-related incoming training material.
• Train Department staff (Administrative and data management staff in specific) in necessary communication (written and oral) skills through having sessions and giving written feedbacks.
• Coordinate between Media section and project staff.
• Coordinate between HRD and project staff.
• Coordinate between DME related subjects on a timely
manner with the project staff.
6. Supervise and maintain all office-required records for office administrative support and projects data processing, management and information for keeping up to date all program related issues.

Job Requirements

EDUCATION: University graduate and or certificate in business administration or computer since and operation.

Work Experience: Minimum five years experience in project management or a similar position and administration/finance, data management, proposal, report writing and budget tracking, preferably with international NGOs.

Skills: Excellent communication skill both written and spoken. Satisfactory (responsive to job requirement) reporting and proposal writing knowledge. Professions in office management and office administrative update system. Sufficient knowledge to Microsoft Word, excel, PowerPoint, Access, Dari/Pushtu word processing and any other software required by the department. Acceptable fluent written and spoken English, Dari and Pushto.

LANGUAGES: Excellent knowledge of both written and spoken English is required. Must be able to write reports in English of a high standard. Also proficiency in Dari or Pashtu.

GENERAL: Management experience to a satisfactory level, acceptable written and spoken English and computer literate as required.
